Who We Are

1Click Heating & Cooling is a Canadian home electrification company focused on making home comfort upgrades simple, accessible, and efficient. We work across multiple provinces and partner with utilities, government programs, and industry organizations to deliver heat pumps, electrification solutions, and energy-efficiency upgrades to homeowners.

We are a growing, fast-moving organization with a strong focus on operational excellence, customer experience, and using technology to improve how projects are delivered from initial sale through installation and completion.

The Role

The Operations Coordinator is responsible for the day-to-day coordination of regional operations. This role helps keep customer projects moving, ensures technicians and customers have the information they need, and maintains accurate operational records across our systems.

The ideal candidate is organized, proactive, comfortable managing multiple priorities, and able to follow through on outstanding items without losing sight of the bigger picture.

Key Responsibilities

Scheduling & Coordination

Coordinate pre-inspection and installation scheduling.
Confirm upcoming appointments with customers and technicians.
Communicate schedule changes and ensure all parties have the required job details.
Ensure technicians have the necessary scope, documentation, and scheduling information before attending appointments.

Customer & Technician Communication

Maintain clear and timely communication with customers throughout the operational portion of their project.
Follow up with customers for missing information, documents, or scheduling requirements.
Follow up with technicians for incomplete work orders, photos, forms, measurements, or other required job information.
Coordinate with suppliers, subcontractors, and internal teams where required to keep projects moving.

Documentation & Systems

Review completed inspection and installation work orders for completeness and accuracy.
Ensure required photos, forms, measurements, documents, and supporting information are received and attached to the appropriate records.
Maintain accurate information in NetSuite (ERP system ) and Shepherd (field management software), including account statuses, dates, tasks, notes, work orders, and documentation.
Complete required customer, account, and program submissions once documentation is available.

Pipeline & Follow-Up

Review stagnant accounts and identify the next action required to move them forward.
Follow up on non-responsive customers, incomplete work orders, missing documentation, and other outstanding items.
Monitor accounts throughout the operational pipeline and ensure completed work is processed promptly.
Identify recurring operational issues that may affect scheduling, job readiness, documentation, or account progression.

Strong organizational skills and attention to detail.
Ability to manage multiple customers, appointments, and outstanding items at the same time.
Strong written and verbal communication skills.
Proactive approach to follow-up and problem solving.
Comfortable working with business systems and learning new technology.
Ability to work effectively with customers, technicians, suppliers, subcontractors, and internal teams.
Experience in HVAC, construction, field service, operations, or a similar environment is considered an asset.
