AccessHR is excited to partner with GLJ for the recruitment of a full-time, permanent Junior Executive Administrative Assistant.

POSITION DESCRIPTION

Reporting to the Executive Assistant, the Junior Executive Administrative Assistant will support GLJ’s team with the coordination and day-to-day administration that keeps work moving.

The role combines executive support and broader administration. You will manage calendars, meetings, travel and expenses; help coordinate events; and keep records and shared documents organized. You will also use Microsoft 365, and ensure work is completed accurately and on time.

This is an opportunity for someone with strong organizational, systems, and customer service skills who enjoys helping others and wants to grow into executive support. You will work alongside an experienced team of administrative professionals, build relationships across GLJ, and learn how to anticipate what leaders need.

Success in this role calls for clear communication, sound judgement, and the confidence to ask questions when priorities change. You will bring order to busy days, follow through on details, and take a curious, tech-forward approach to finding better ways to make the team’s work easier.

KEY DELIVERABLES

Executive Coordination: Manage calendars, schedule meetings, resolve conflicts, coordinate travel arrangements, and process expense reports.
Clear Communication: Draft and format professional correspondence and documents; coordinate meetings, prepare materials, and capture meeting notes.
Organize Information: Maintain accessible digital records, shared documents and files, and support a shift toward cloud-based filing.
Team and Office Support: Respond to requests from leaders and colleagues, track commitments, and help coordinate office activities as well as staff and client events.

QUALIFICATIONS

Service and Discretion: Bring a helpful, responsive approach and handle confidential information with sound judgement.
Microsoft 365 Skills: Use Outlook calendars, Word, PowerPoint, and Teams accurately and confidently; bring an interest in learning new digital tools.
Communications: Write and speak professionally, ask thoughtful questions, clarify expectations, follow through on commitments, and confirm all communications.
Organization and Problem Solving: Manage competing requests, pay close attention to detail, and seek guidance when priorities need to be reset.
Professional Presence: Stay calm and approachable under pressure; build trust with executives and colleagues.

EDUCATION & EXPERIENCE

Secondary education (High School Diploma) or equivalent.
1 to 3 years’ experience in administration, executive support, reception, or customer service, or an equivalent combination of education and experience.

ASSETS

Post-secondary education in Business, Office Administration, Communications, or related field.
Experience with SharePoint, OneDrive, and/or digital filing.
Experience coordinating events.
Familiarity with Power Automate.

WHAT WE OFFER

Hybrid work schedule, typically in office Monday through Thursday with the option to work remotely on Friday, subject to business needs.
Downtown Calgary location with access to a subsidized fitness facility.

POSITION REQUIREMENTS

Ability to work outside of business hours for events or urgent requests.
Ability to commute to Downtown Calgary.
