The Opportunity
We are currently recruiting for an experienced Property Accounting Administrator to join a busy commercial property management team in downtown Toronto for a confirmed 12-month maternity leave contract with potential to extend. This is a highly detailed, numbers-focused role where a significant portion of the day will be dedicated to tenant invoicing, bill backs, Accounts Payable support, financial administration, and maintaining accurate documentation for some prominent commercial properties. You will also be a key resource to the broader property management team, supporting senior property managers and department leaders with contracts, vendor administration, tenant inquiries, and other time-sensitive priorities. This is an excellent opportunity for someone who enjoys a fast-paced, high-volume environment, is naturally organized and proactive, and knows how to keep multiple moving pieces on track.
What You'll Be Doing
Property Accounting & Tenant Invoicing
- Compile, prepare, and generate tenant invoices and bill backs accurately and on time.
- Manage the flow of information related to service requests and work orders to ensure appropriate tenant charges are captured.
- Support Accounts Payable and Accounts Receivable activities.
- Code expenses to the appropriate General Ledger (GL) accounts and budgets.
- Review information carefully to identify discrepancies, errors, or missing details and proactively flag concerns.
- Maintain accurate financial documentation and ensure records are filed in the appropriate electronic folders.
- Communicate with tenants regarding invoices, billing matters, and related inquiries, ensuring professional and timely follow-up.
- Assist with the annual rent letter process.
- Review tenant lease information to help ensure appropriate rates and charges are applied.
Contracts & Property Administration
- Support senior property managers and other leaders with contract administration.
- Assemble completed contracts and distribute them for signature and execution. This role does not write/draft the contracts.
- Manage electronic execution and tracking through DocuSign.
- Maintain organized and accurate contract documentation and filing.
- Assist with new vendor and service-provider setup as required.
- Follow up on outstanding items and help ensure deadlines are met.
Team Support
- Provide administrative support to a large, busy property management team.
- Work closely with senior property managers, managers, and other administrative team members.
- Balance multiple requests, deadlines, and competing priorities while remaining calm and organized.
- Participate in team meetings as required while spending the majority of the day managing desk-based accounting and administrative responsibilities.
- Proactively step in to resolve issues and move tasks forward without requiring continual follow-up or reminders.
What We're Looking For
- Previous experience in property accounting, financial administration, accounting administration, or a similar numbers-focused role.
- Strong knowledge of accounting fundamentals and comfort working with invoices, AP, AR, GL coding, budgets, and financial documentation.
- Experience with JDE / JD Edwards, or comparable accounting/property management systems is highly desirable; experience with Yardi is also considered valuable due to its similar property accounting functionality.
- Experience using DocuSign is a strong asset.
- Commercial property management or real estate experience is strongly preferred.
- Familiarity with commercial tenant leases, including office or retail leases, is considered an asset.
- Strong Microsoft Office skills, particularly Excel and Outlook.
- Excellent written and verbal communication skills.
- Strong attention to detail with the ability to spot errors or inconsistencies.
- Ability to manage sensitive information and competing deadlines professionally.
The Ideal Candidate
You're organized, accurate, proactive, and comfortable working with numbers. You don't just process what's placed in front of you. You review your work, notice when something doesn't look right, and raise the flag when needed.
You'll be successful in this role if you:
- Thrive in a fast-paced environment with a lot of moving parts.
- Can manage multiple deadlines without losing attention to detail.
- Communicate promptly and professionally with tenants and internal stakeholders.
- Are comfortable working independently once trained.
- Take initiative and jump in to solve problems without needing to be reminded.
- Can remain calm and focused when volumes and deadlines increase.
- Enjoy being part of a team while still being accountable for your own workload.

If you have a strong accounting and administrative background, enjoy working with numbers, and are looking for a hands-on role within a dynamic commercial property environment, starting quite immediately, we'd love to hear from you.
