As a Production Support Representative, your primary responsibility of this incumbent is to support the Human Resourcing Outsourcing Third Party Remittance program. This role involves using your analytical skills, collaborating with others, managing your time well, and taking responsibility for your work.

You'll work closely with internal team members of the Human Resourcing Outsourcing department.

What you can expect on a typical day:

Work schedule: minimum 3 days per week (in office) with a 4^th workday requirement (due to pick periods – January & February). Tuesday & Wednesday are mandatory.
Collects and organizes documentation from HRO operations team. Documentation matches the appropriate cheque and sent to the required addressee.
Monitor HRO folders to ensure items are sent out in a timely manner.
Support shipping/receiving activities including courier waybill creation and Canada Post mail by operating mail machine.
Update data in the Production Portal timely and accurately.
Ensure SLA is met for cheque turnaround for regular incoming payroll bag
Action time sensitive requests from the HRO Operations Leadership team
Investigate missing or delayed items to vendors.
Escalates problem situations or issues in a timely manner to the coordinator or team leader.
Monitor and Manage inventory used to support all mail out and courier activities.

TO SUCCEED IN THIS ROLE: Requirements

Good communication skills, both written and spoken. Bilingual French/English.
Detail oriented, high accuracy with figures.
Accurate data entry skills (numeric and alpha-numeric).
Intermediate proficiency in Office equipment, Microsoft suite, and Adobe.
Demonstrated ability to work in a team environment.
Lifting of 5lbs +

CE QUE VOUS FEREZ: Responsabilités

Ce à quoi ressemble une journée habituelle :

Horaire de travail: minimum 3 jours par semaine (au bureau) avec un 4ieme jour de travail requis, durant les périodes achalandée (soit les mois de janvier et février). mardi et mercredi sont obligatoire.
Recueillir et organiser les documents de l’équipe de l’Exploitation de HRO. Les documents doivent être associés au chèque approprié et envoyés au bon destinataire.
Assurer le suivi des dossiers de HRO afin de veiller à ce que les articles soient envoyés rapidement.
Soutenir les activités de livraison et de réception, y compris la création de lettres de transport par messagerie et la gestion du courrier de Postes Canada à l’aide d’une machine à traiter le courrier.
Mettre à jour les données dans le portail du service de production dans les meilleurs délais et avec précision.
S’assurer que les niveaux de service prédéfinis sont respectés relativement au délai de traitement du sac de chèques liés à la paie normale à venir.
Répondre aux demandes urgentes de l’équipe de direction de l’Exploitation de HRO.
Vous serez soutenu dans le maintien de vos connaissances et de votre maîtrise des produits de rapports et d'analyse.
Enquêter au sujet des articles égarés ou retardés auprès des vendeurs
Acheminer rapidement à un niveau supérieur les situations problématiques au coordonnateur ou au chef d’équipe.
Assurer le suivi et la gestion des stocks utilisés pour soutenir les activités liées au courrier sortant et à la messagerie.

POUR RÉUSSIR DANS LE CADRE DE CE RÔLE : Exigences obligatoires 

Bonnes compétences de communication, tant à l’écrit qu’à l’oral. Bilinguisme (français et anglais).
Minutie et grande précision à l’égard des chiffres.
Capacité à saisir des données exactes (numériques et alphanumériques).
Bonne capacité à utiliser le matériel de bureau et bonne connaissance de la suite Microsoft Office et d’Adobe.
Capacité éprouvée à travailler au sein d’une équipe.
Un grand souci du détail.
