About Us

At Advance Pallet & Crate Ltd., we manufacture and supply custom industrial packaging, pallets, and crates for major supply chain and logistics operations. We operate in a fast-paced, high-energy environment where no two days look the same. We pride ourselves on maintaining an organized, efficient, and supportive operation for both our workforce and executive leadership.

Job Description

We are seeking an energetic, highly adaptable, and proactive Executive Personal Assistant & Office Manager to support company leadership, oversee daily office operations, assist with property management, and support growth initiatives.

This is a true "jack of all trades" role for someone who thrives on variety and fast-paced daily changes. This position is ideal for a motivated recent Bachelor’s degree graduate looking to gain broad, hands-on experience in business operations, executive support, project coordination, and financial administration. If you are a natural problem-solver with strong organizational skills and a desire to learn all aspects of running a business, this role offers a rich learning environment and a dynamic workday.

Key Responsibilities

Executive & Personal Support

  • Communicate on behalf of executive leadership via calls, text messages, and emails.
  • Schedule meetings, take notes during key discussions, and track follow-up action items.
  • Research, book, and manage business and personal travel itineraries (flights, hotels, rental cars) and dining reservations.
  • Run local errands, pick up lunches, and assist with occasional family transportation support (e.g., school pickups).

Grants, Financial & Administrative Operations

  • Assist with tracking, documentation, and administration for government grants, subsidies, or funding applications.
  • Manage credit card payables, code transactions, process receipts, and maintain clear records for accounting.
  • Conduct Amazon account reconciliations and oversee general office purchasing.

Property & Real Estate Coordination

  • Serve as the main point of contact for the executive’s residential and commercial property portfolio.
  • Coordinate directly with tenants regarding leases, inquiries, rent tracking, and maintenance requests.
  • Liaise with contractors, handymen, and property vendors to schedule repairs and inspections.

Office Management, Benefits & Facilities

  • Act as the primary on-site support system for office staff; plan company events and holiday celebrations (e.g., annual Christmas party).
  • Oversee and administer employee benefits programs (enrolments, inquiries, and claims).
  • Facilitate office maintenance, vendor relationships, and manage office phone technology.
  • Keep office supplies and lunchroom stock filled, set up boardrooms, and keep office spaces organized.

Requirements & Qualifications

  • Education: Bachelor’s degree (BA, BCom, or BBA preferred) or equivalent experience.
  • Work Location: Ability to work 100% on-site in a fast-paced environment.
  • Schedule: Ability to work full-time (37.5 hours/week, Monday–Friday).
  • Grants & Funding: Experience or familiarity with government grant applications, wage subsidies, or tax credits is a strong asset.
  • Driver’s License: Valid Driver’s License and reliable personal vehicle required for errands and property visits.
  • Financial Aptitude: Strong attention to detail with basic proficiency in expense tracking, reconciliations, or administrative accounting.
  • Adaptability: A "jack of all trades" mindset with high eagerness to learn and tackle shifting daily priorities.
  • Discretion: Complete trustworthiness and discretion handling confidential corporate and personal details.
