Founded in 1989, AFD Petroleum is a leading independent supplier of fuel, lubricants, and storage solutions across Alberta, B.C., Yukon, and Alaska. Job Summary: Our Billing Administrator makes sure every delivery, service, and shipment turns into an accurate, on-time invoice. You’ll compile billing data, calculate fees and rates, and prepare consolidated and contract-specific invoices in Microsoft Dynamics 365 Business Central, then send them to customers or submit them through their online billing portals. You’ll also process inventory receipts, transfers, and reconciliations, and dig into discrepancies when the numbers don’t line up. Reporting to our Corporate Controller, you’ll work closely with our branches, Dispatch, and our Accounts Receivable and Accounts Payable teams.

Your Schedule

Full-time, permanent, Monday to Friday, 8:00 a.m. to 5:00 p.m., in office at our Edmonton office. Occasional overtime may be required around billing and month-end deadlines.

What you will do day-to-day:

Compile data, compute fees, and prepare customer invoices in Business Central.
Prepare consolidated and contract-specific invoices.
Send invoices to customers or submit them through customer online billing portals.
Compare invoices against purchase orders, delivery tickets, and receiving documents to confirm accuracy.
Process inventory receipts, transfers, and reconciliations.
Investigate and resolve billing discrepancies, escalating pricing disputes and credit requests as needed.
Build Excel reports on customer usage and spending.
Respond to billing questions from customers, branches, and business partners by phone and email.
Meet billing and month-end cut-off deadlines.

What you need to succeed:

3+ years’ experience in a billing role.
High School Diploma required.
Advanced knowledge of MS Office, particularly Excel.
Professional written and verbal communication skills.
Organized and comfortable managing multiple deadlines at once.

Extra skills and Knowledge:

Post-Secondary Diploma in Accounting, Finance, or Business Administration.
Experience with Microsoft Dynamics 365 Business Central or a comparable ERP system.
Experience with customer billing portals or the fuel/petroleum industry.
