Founded in 1989, AFD Petroleum is a leading independent supplier of fuel, lubricants, and storage solutions across Alberta, B.C., Yukon, and Alaska. Job Summary: Our Dispatch Administrator makes sure every fuel delivery is properly documented, audited, and ready to bill. You’ll review and process trip paperwork from our drivers, run trip-over-trip audits, complete lifting reports, and flag discrepancies before they hold up the billing cycle. With a clear picture of our drivers’ real-time trips, schedules, and customer locations, you’ll close trips accurately and efficiently, and step in to support dispatch with scheduling and trip building when volumes peak. Reporting to our Logistics Supervisor, you’ll work closely with our Transportation Manager, Fleet Coordinators, drivers, and billing team.

Your Schedule

Full-time, permanent, Monday to Friday, 8:00 a.m. to 5:00 p.m., at our Edmonton office, with occasional time in the yard. Some overtime and after-hours work may be required.

What you will do day-to-day:

Review and process driver trip paperwork accurately and on time to support the billing cycle.
Check driver paperwork for quality and completeness, and flag discrepancies for review.
Conduct trip-over-trip audits to confirm accuracy and compliance across all deliveries.
Complete lifting reports and make sure all data is captured correctly.
Work with the billing team to verify documentation and resolve discrepancies.
Perform high-volume data entry with a strong focus on accuracy.
Support dispatch with overflow scheduling of fuel deliveries and purchases, building trips, and confirming credit releases are completed before delivery.
Support the fuel reconciliation spreadsheet and dyed fuel inventory.

What you need to succeed:

2+ years’ experience in a dispatch-related role.
High School Diploma; an equivalent combination of education and experience will be considered.
Advanced knowledge of MS Word, Excel, PowerPoint, and email.
Professional written and verbal communication skills.
Strong attention to detail and comfort managing high volumes of information in a fast-paced environment.

Extra skills and Knowledge:

Experience in the fuel, transportation, or oil and gas industry.
