Job Description

Our client is seeking an experienced Project Coordinator to provide coordination support across a diverse portfolio of business, operational, service delivery, and technology-enabled initiatives. The successful candidate will work on multiple concurrent assignments and may be responsible for coordinating work packages or leading smaller, lower-complexity projects where a dedicated project manager is not required.

Responsibilities

Develop and maintain project charters, plans, schedules, work breakdown structures, budgets, resource plans, and status reports.
Coordinate project meetings, agendas, documentation, minutes, action items, decisions, and follow-up activities with project teams and stakeholders.
Maintain project controls and tracking tools, including risk, issue, dependency, change, decision, milestone, and deliverable logs.
Monitor project progress against approved plans, identify variances or emerging risks, and recommend corrective actions as needed.
Prepare project communications, presentations, dashboards, reports, briefing materials, and stakeholder updates.
Coordinate vendor and supplier administration activities, including purchase orders, invoices, contract documentation, onboarding, offboarding, and deliverable tracking.
Support project budgeting, forecasting, resource tracking, document management, and records administration.
Coordinate stakeholder engagement sessions, workshops, testing activities, training initiatives, implementation planning, organizational readiness, and change management activities.
Lead assigned work packages or smaller initiatives by developing project plans, coordinating contributors, tracking commitments, and facilitating successful delivery.
Support portfolio-level reporting, governance activities, project intake processes, prioritization efforts, standards development, and continuous improvement initiatives.
Perform additional project coordination and project support activities as required.

Qualifications

Minimum five years of progressively responsible project coordination, project administration, or project delivery experience.
Proven ability to support multiple concurrent projects and manage competing priorities with minimal supervision.
Experience working across a variety of project types, including business process improvement, operational transformation, service delivery enhancement, organizational change, and technology initiatives.
Strong understanding of project planning, scheduling, governance, risk and issue management, financial tracking, reporting, and document control practices.
Excellent organizational, communication, facilitation, stakeholder management, and problem-solving skills.
Demonstrated initiative, accountability, and ability to identify needs, resolve issues proactively, and drive work through to completion.
Proficiency with Microsoft 365 applications, including Word, Excel, PowerPoint, Teams, and SharePoint. Experience with project scheduling, portfolio management, or collaboration tools is considered an asset.
Project Management, Project Coordination, CAPM, PMP, Agile, or related certifications are considered assets.
Experience working in large enterprise, public sector, regulated, or complex organizational environments is considered an asset.
