About The Role
We are currently seeking a highly skilled and detail-oriented Bookkeeper to join our team on a full-time, permanent basis. The ideal candidate will play a critical role in managing our financial operations, including payables and receivables, supplier reconciliations, cost controls, and auditing processes for both our Canadian and USA clients. This position offers an exciting opportunity for an experienced finance professional to contribute to the financial health and success of our organization. The role requires a proactive individual with strong accounting expertise, exceptional organizational skills, and the ability to handle multiple priorities efficiently. The anticipated start date for this position is August 31, 2026, with the potential for long-term employment and career development within the company.
Qualifications
- Diploma or degree in bookkeeping, accounting, finance, or a related field.
- Minimum of 2 years of relevant experience as a bookkeeper or controller, preferably within the catering and events industries.
- Proven experience managing approximately 900 or more event files annually.
- Strong background in budget management, cost control, and variable cost analysis specific to catering and event operations.
- Experience with revenue forecasting, margin management for COGS categories such as food, liquor, staff, rentals, and venue costs.
- Proficiency in Microsoft Office Suite, especially intermediate Excel skills.
- Hands-on experience with Multiledger accounting software, NetSuite, and Pipe Drive software.
- Familiarity with catering and event billing systems such as CEM, CaterSource, and TripleSeat.
- Knowledge of controls related to event-specific costs, staffing, rentals, and margin management.
- Strong understanding of accounting principles and practices, with fluency in spoken and written English.
- Excellent analytical, problem-solving, and organizational skills.
- Effective communication and interpersonal skills, with the ability to manage multiple priorities and meet deadlines.
Responsibilities
- Process and record all invoices accurately, ensuring proper coding and classification for financial clarity.
- Manage vendor relationships, negotiate favorable payment terms, and ensure timely payments.
- Reconcile customer payments and maintain precise accounts receivable records.
- Conduct regular supplier statement reconciliations to verify accuracy and resolve discrepancies promptly.
- Collaborate with procurement teams to verify pricing, quantities, and purchase order accuracy.
- Implement and monitor cost control measures to optimize expenses across various departments.
- Analyze financial data to identify cost-saving opportunities and improve operational efficiencies.
- Perform internal audits to ensure compliance with company policies and standards.
- Coordinate external audits and provide necessary documentation to auditors.
- Prepare and present accurate financial reports, including income statements, balance sheets, and cash flow statements.
- Generate weekly COGS and revenue reports for management review, supporting strategic decision-making.
- Assist in the preparation of annual budgets and financial forecasts, monitoring variances and explaining discrepancies.
- Maintain organized and up-to-date financial records, ensuring compliance with all relevant regulations.
- Collaborate with departments such as operations, procurement, and sales to gather and analyze financial data.
- Monitor sales staff performance related to COGS management and variable costs.
- Provide training and guidance to junior finance team members, fostering professional development.
- Stay informed on industry trends and accounting best practices to continuously improve financial processes.
