Job Summary:

We are currently seeking a highly energetic and organized Front Desk Administrative Assistant to join our growing team. The successful candidate excels at wearing many hats and is experienced in handling a wide range of administrative duties, while supporting internal departments and ensuring external customers are dealt with in a timely, courteous and professional manner.

Key Responsibilities:

Manages reception area – receives, screens and routes incoming calls, greets walk-ins, sorts and distributes company mail
Maintains security by following procedures, monitoring logbook filing
Supports and monitors office operations – responsible for ensuring stationery cabinet is stocked, and supplies are ordered as required
Supports the senior management team, and other ad hoc requests
Performs other administrative duties as requested by the various internal departments
Support other office management including, courier/mail deliveries, maintain filing system
Provide back up to service dispatcher

Qualifications:

Two years of experience in office administration, Microsoft Word document formatting and report preparation (education in office administration an asset);
High level of proficiency with Microsoft Word, Excel, Outlook, PowerPoint and Adobe Acrobat;
Familiarity with basic accounting principles; experience with QuickBooks will be an asset
Strong communication and interpersonal skills
Fluent in written and spoken English
Ability to prioritize and multitask in a fast-paced environment;
Ability to prioritize with excellent organizational skills, and attention to detail with high degree of accuracy
