Key duties
- Monitor and manage daily time and attendance records, including related reporting.
- Enter all approved time-off requests, including vacation, time bank, and unpaid leave, accurately and promptly in the Time & Attendance system.
- Monitor the department’s shared mailbox and create service requests in TRIRIGA, as required.
- Review, code, and approve invoices in Ariba in accordance with established procedures.
- Track, audit, and maintain invoices, records, and accruals.
- Maintain strict confidentiality when handling employee, departmental, and company information.
- Maintain and update departmental databases to ensure information is accurate and current.
- Provide administrative support for departmental operations and complete assigned tasks within established timelines.
- Coordinate and schedule departmental training sessions, ensuring that participants, resources, and logistical requirements are properly organized.
- Coordinate events, classroom bookings, and facility related activities.
- Liaise with internal teams, external vendors, and third-party service providers.
- Support project planning, documentation, and communication for ongoing initiatives.
- Support with space planning, furniture coordination, and key distribution.
- Complete monthly administrative and financial activities.
- Monitor deadlines and follow up with the appropriate stakeholders to ensure monthly reporting and processing requirements are met.
- Order and maintain departmental supplies, monitor inventory levels, and ensure operational requirements are met in a timely manner.
- Prioritize workload independently while providing updates to managers and stakeholders.
- High School diploma.
- Minimum 3 years office experience.
- Knowledge of Microsoft Office applications.
- Knowledge of SABA and/or ARIBA, an asset.
- Proficiency in spelling, punctuation and grammar.
- Good interpersonal skills.
- Excellent communication skills both written and verbal, as well as formatting and proofreading skills.
- Aptitude for accuracy and detail.
- Aptitude for math.
- Demonstrate punctuality and dependability to support overall team success in a fast-paced environment.
- This role may involve taking minutes, performing physical tasks like lifting or climbing, or working variable shifts.
