Original job description

The Senior Analyst, Document Control is responsible for ensuring the integrity, accessibility, traceability, and quality of controlled documentation within the Transportation Business Unit. Reporting to the Manager, Asset Information, the role works under the technical direction of the Advisor, Document Control and Records Management for document control scope, standards, risks, priorities, and complex issue resolution. The Senior Analyst applies professional judgment to execute document control activities, identify risks and process gaps, assess impacts, and develop practical solution options. Working with a high degree of initiative, the role is expected to independently progress work while aligning with the Advisor and stakeholders on decisions, priorities, and implementation approaches. The position contributes to standards, procedures, and continuous improvement initiatives that support a consistent, sustainable, and compliant document control program across the business.

Essential Job Functions

General Document Control Support

Assist with the development and implementation of DC standards, procedures, tools and systems.
Provide DC team members, stakeholders and external parties with training, day to day guidance and support to ensure compliance with all applicable document control standards and requirements and ensure effective use of tools and systems.
Execute all DC processes in compliance with applicable work aids and specifications to ensure deliverables are processed accurately and completely.
Use strategic and critical thinking to find efficiencies, balance conflicting priorities and balance DC requirements with business needs when executing processes that are not clearly defined.
Proactively identify issues, risks, process gaps, and improvement opportunities within assigned work.
Assess impacts, gather relevant information, and develop practical solution options before seeking guidance.
Exercise sound professional judgment to progress work where requirements are not fully defined while recognizing when alignment, consultation, or escalation is required.
Collaborate with the Advisor and stakeholders to evaluate options and implement effective, sustainable solutions.
May act as DC SME for the Transportation Business Unit Operating Management System (TOMS) and provide expertise on issues pertaining to Document Control within the business unit.
Manage revision control (including deliverable sign-out to internal and external parties) and deliverable number assignments.
Receive, quality check, and process internal and external deliverables in accordance with applicable standards, including ECMS upload, distribution, and acceptance or rejection decisions. Where requirements are unclear, assess impacts and work with the Advisor to determine an appropriate path forward.
Maintain a high level of quality and accuracy while executing DC processes including deliverable acceptance, metadata entry and distribution.
Communicate consistent internal and external quality issues, process improvements and standard gaps to the Advisor and support their resolution.
Ensure all requests are addressed in a timely and professional manner.

Periodic travel to field offices may be required.

Knowledge, Skills and Abilities Required

Demonstrated ability to work independently in ambiguous environments, exercise professional judgment, take ownership of outcomes, and progress work to completion without requiring continuous direction or relying on historical ownership practices.
Understand and apply complex document control concepts to solve a variety of problems and support developing DC standards and procedures.
Thorough understanding of technical documentation (engineering and vendor) and their lifecycles.
Familiarity with project lifecycles of varying sizes and complexities (large capital projects, sustainment projects, MOC’s, etc.) and the varying documentation needs of each.
Experience with using a Content Management Systems (CMS) to store and manage controlled documents, specific familiarity with OpenText Content Server is an asset.
Experience with Microsoft Office Suite products (specifically Outlook, Word, Excel)
A strong work ethic, attention to detail, ability to work independently with a high level of initiative, ability to multitask, and with strong interpersonal skills.
