Your Opportunity:

The Hospitalist Program at Peter Lougheed Centre is seeking a highly organized, detail oriented, and proactive Administrative Support IV. This role is ideal for a professional who excels in complex scheduling coordination, physician support, data tracking, and managing multiple priorities with minimal supervision. As the administrative contact for PLC Hospitalists, you will engage with internal and external stakeholders, support physician operations, and ensure smooth scheduling and program workflow. You will play a key role in maintaining program efficiency, supporting physician needs, and ensuring compliance with internal processes. This full-time position requires the successful candidate to work on site at the Peter Lougheed Centre and involves prolonged sitting and computer use, and occasional lifting or moving up to 10 pounds. In this role, you will manage physician schedules online, support leadership by addressing coverage gaps and coordinating follow-up with physicians. Track CME attendance and prepare annual credit letters, process physician invoices, maintain physician and preceptor contact lists. Support onboarding for new physicians, residents, and learners, act as primary liaison with Learner Scheduler. Provide general administrative assistance including reception coverage, document management, communication coordination, and troubleshooting pager, IT, and Connect Care access. Organize meetings by preparing agendas and minutes, booking rooms and virtual links, and assist with data compilation, periodic reviews, and other tasks as assigned by Hospitalist leadership. This position works closely with and receives direction from PLC Hospitalist physician leads, requiring timely and professional communication across multiple channels, including email, phone, and messaging platforms.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Minimum 3 years of full-time experience in an administrative role within a healthcare environment, including experience with minute-taking, data entry and tracking, administrative coordination, and use of virtual meeting software. Minimum intermediate competency in Microsoft Office (including Word, Outlook, Excel, PowerPoint). Excellent verbal communication and interpersonal skills with demonstrated patience, tact, and diplomacy. Strong customer service orientation. Ability to work independently to prioritize and complete tasks within an environment with frequent interruptions and competing demands. Strong understanding of patient and business privacy. Excellent attention to detail. Completion of Administrative Professional program, Medical Office Assistant/Unit Clerk program or similar. Technical skills will be assessed for any candidate invited to an interview.

Preferred Qualifications:

Previous experience providing administrative support to physicians. Experience with and/or knowledge of physician billing. Training and experience with Connect Care. Advanced proficiency with Office applications. Prior experience updating ROCA. Experience processing financial payments.
