Original job description

Your Opportunity:

Reporting to the Patient Care Manager and Unit Manager(s), the Administrative Assistant V - Scheduling Liaison is responsible for providing advanced administrative and scheduling support across multiple clinical programs including the Day Surgery Unit, 24-Hour Surgical Short Stay, Pre-Admission Clinic, Ophthalmology (Eye) Clinic, Women's Health Clinic, Post-Anesthesia Care Unit (PACU), and Outpatient Urology Clinic. This Administrative Assistant V position serves as the primary scheduling liaison for multidisciplinary teams and is responsible for coordinating staff schedules, maintaining staffing databases, supporting workforce planning activities, and ensuring compliance with Alberta Health Services (AHS) staffing practices, collective agreements, policies, and procedures. The incumbent works closely with managers, unit leadership, Human Resources, Payroll, Staffing Services, and frontline staff to support efficient operations and optimal staffing levels across multiple service areas. Key responsibilities may include developing and maintaining complex staffing schedules, processing staffing and payroll transactions, coordinating vacation and leave requests, tracking vacancies and position control information, preparing reports and workforce analytics, maintaining confidential employee records, and supporting recruitment and onboarding activities. The Administrative Assistant V acts as a resource for scheduling-related inquiries and contributes to operational planning through effective communication, organization, problem solving, and collaboration. The successful candidate demonstrates exceptional attention to detail, strong organizational skills, sound judgment, and the ability to manage multiple competing priorities in a fast-paced healthcare environment.

Required Qualifications:

Completion of post-secondary education (e.g. certificate in office or business administration).

Additional Required Qualifications:

Completion of a recognized post-secondary diploma in Business Administration, Office Administration, or a related field. Minimum three (3) years of progressive administrative experience, including at least two (2) years supporting staff scheduling, workforce coordination, payroll, or related staffing functions in a complex healthcare or large organizational environment. Proficient in WFM, e-People, Connect Care, and related workforce systems, as well as Microsoft Office applications, particularly Outlook, Word, Excel, Teams, and PowerPoint. Demonstrated ability to interpret and apply organizational policies, procedures, staffing guidelines, and collective agreements. Strong organizational, analytical, and problem-solving abilities with exceptional attention to detail and accuracy. Excellent communication and interpersonal skills, with the ability to build collaborative working relationships with leaders, physicians, staff, and operational partners. Proven ability to manage multiple competing priorities, meet deadlines, and work independently in a fast-paced environment. Demonstrated professionalism, discretion, and sound judgment when handling confidential and sensitive information.

Preferred Qualifications:

Experience supporting surgical, ambulatory, perioperative, and acute care programs within AHS. Advanced knowledge of scheduling, staffing, position management, payroll administration, and collective agreements. Skilled in staffing analytics, workforce reporting, vacancy tracking, recruitment, onboarding, and employee records management. Advanced Excel expertise with proven ability to support multiple managers and high-volume clinical programs.
