Description:

The incumbent is responsible for coordinating and managing the day-to-day administrative operations of the Senior Operating Officer's (SOO) office, supporting a broad portfolio within a hospital-based leadership environment. Acting as a key liaison with corridor program leaders, provincial leadership, site-based clinical and operational leaders, internal and external stakeholders, contracted agencies, and government departments, the incumbent supports collaboration, operational effectiveness, and strategic initiatives at the Northern Lights Regional Health Centre. This senior administrative role requires a high degree of independence, discretion, and sound judgment. Responsibilities include coordinating and tracking action items, managing communications, preparing reports, correspondence, presentations, and financial documents, coordinating meetings and calendars, maintaining records, and supporting special projects and operational priorities. The incumbent serves as a primary contact for the SOO's office and ensures timely follow-up on requests and initiatives. The role also supports financial and workforce administration by monitoring vacancies, budget and overtime variances, processing invoices and expense claims, supporting payroll activities, and tracking temporary positions. Additional responsibilities include responding to inquiries, maintaining office procedures, and ensuring efficient administrative processes. Success in this position requires advanced proficiency in Microsoft Office, OneDrive, OneNote, and organizational tracking systems, along with excellent organizational, communication, prioritization, and problem-solving skills. The incumbent must manage competing priorities, maintain confidentiality, exercise sound judgment, and demonstrate professionalism while supporting hospital-based leadership in a complex acute care environment.

Required Qualifications:

Completion of a recognized post-secondary administrative diploma/certificate program or office management program supplemented by additional administrative, computer and financial administrative courses. Minimum of 5 years related experience in an administrative health care setting. Strong computer literacy and competency.

Additional Required Qualifications:

Advanced MS Office Suite skills (SharePoint, Excel, Word, Outlook, Teams). Excellent oral and written communication skills. Ability to multi-task and make sound decisions independently, as well as work in a team environment. Possess excellent time management skills and ability to prioritize. Possess strong communication and interpersonal skills, tact and good judgment to deal effectively with the public in a reception capacity.

Preferred Qualifications:

Excellent knowledge of political sensitivities and the diverse interests of diverse stakeholders; and of financial policies, the electronic communication system as well as of legislation governing Access to Information Act (ATIA) and the Protection of Privacy Act (POPA), financial and human resource information systems and expense claim system.
