Role Description The Administrative Assistant is a full-time, on-site role based in Calgary, AB. This position supports the daily operations of the office by managing phone calls, greeting clients, and directing inquiries to the appropriate team members. Responsibilities include scheduling appointments, maintaining client records, preparing and organizing documents, and handling basic data entry for accounting and tax-related files. The role also involves general clerical duties such as filing, photocopying, mail handling, and ensuring the reception area is organized and welcoming. The Administrative Assistant collaborates with accounting staff to support client service, maintains confidentiality of sensitive information, and assists with other administrative tasks as needed to keep the office running smoothly.
Your responsibilities will include, but are not limited to:
- Answer and direct phone calls, text messages, emails in a polite and professional
- manner.
- Schedule appointments, maintain calendars, and coordinate meetings.
- Organize and maintain files and documents; obtain all information/
- documentation from Clients, ensuring it has been completed properly, and file & label it all
- appropriately.
- Schedule Client appointments, and prepare all documentation for those appointments.
- Clean up and maintain the Corporate and Personal Client Profiles, DCN database, the Master List, and all other software packages utilized by the Company, ensuring consistency in all data entries across all software.
- Make collections call for outstanding accounts receivables.
Qualifications
- Minimum 1 year of experience in an administrative, office support, or similar role, with experience in the accounting industry preferred.
- Post-secondary education in Administration, Accounting, Business Administration, or a related field is required.
- Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Ability to manage calendars, schedule meetings, coordinate appointments, and handle correspondence.
- Strong attention to detail and accuracy in documentation and data entry.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Strong customer service and interpersonal skills.
- Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
