Algoma University has an existing vacancy in the position of Student Services Coordinator, Timmins Programming. Reporting to the Associate Vice-President, Student Affairs, the Student Services Coordinator, Timmins Programming, is responsible for working in a collaborative environment and coordinating all on-site arrangements for the delivery of Timmins-based programming. Services include, but are not limited to: (1) responsible for a wide range of services and initiatives necessary for ensuring excellent student service in the area of Student Success and Wellbeing, including academic advising, registration, payment, retention-related student support services, and tracking (2) assisting with overall student experience programming, including, but not limited to, orientation programming, student experience events, recreation programming, and off-campus housing support (3) responsible for the recruitment and conversion of applicants to Algoma University, Timmins Campus, in their assigned specialized area, as well as generally, with a focus on increasing diversity of applicants and students. The Student Services Coordinator is responsible for facilitating communication between Algoma University’s campuses in order to meet the needs of current and prospective students. This position will be front-line/front desk, student-centric, and service-based.

RESPONSIBILITIES:

Academic Advising / Student Success Support (40%)

Responsible for assisting with supporting Timmins on-site service initiatives to improve student success, support, and retention efforts.
Work cooperatively with staff in Student Success to coordinate access to student support services for Timmins students.
Responsible for Academic Advising to first-year students as assigned, and upper-year students as needed, for both Timmins and Sault Ste. Marie Campuses.
Coordinate annual Academic Orientation for all incoming students.
Participate in ongoing academic advising training and assist in training, as required.
Direct students through the process of course selection, program requirements/prerequisites, and the student’s academic interests, including post-graduate programs and the student’s abilities.
Responsible for maintaining current knowledge of the university calendar, degree program requirements, deadlines, procedures, regulations for course overloads, etc.
Responsible for registration for all students, transcript requests, and payments.
Responsible for supporting forecasting class capacities and new sections needed at Timmins.
Provide Student Success Plans to students as needed.
Prepare and provide Student Safety Plans as needed.
Responsible for responding to, assisting with, and coordinating the referral of students to mental health supports and services.
Assistance in the administration of academic support services, including peer tutoring, special needs services, and other related academic support services provided through collaboration with The Learning Centre.
Responsible for managing the relationships with external student support providers, including the Canadian Mental Health Association and other Health Services contacts in Timmins.
Collection of data regarding Timmins students for the development of an institutional profile of students.
Maintain an accurate, up-to-date Timmins Student Guide, under the direction of leadership
Help to ensure communication, administrative details, and Timmins initiatives are centralized.

Student Experience Assistance (25%)

Responsible for assisting leadership with the development and review of policies and procedures that assist in the effective operation of Timmins Campus Life programming.
Communicate regularly with the Associate Vice-President, Student Affairs, to provide updates on the campus experience in Timmins.
Liaise with Northern College on any student code of conduct concerns.
Lead the Orientation programming each semester.
Coordinate Student Experience volunteers for Orientation and other events on campus.
Provide support to the Algoma University Student Union representatives in Timmins.
Responsible for managing the relationships with external student experience providers, including Northern College, City of Timmins (Library, Transit, other), and others that develop.
Build community connections for the provision of services to Timmins students.
Organize, implement, and monitor student life programming, activities, intramurals, tournaments, and other events to enhance student life and promote retention.
Responsible for working with Northern College to create intramural programming for Timmins Campus students.
Hire and supervise intramural staff.
Provide off-campus housing assistance to Timmins students, including helping them know their rights and responsibilities as tenants, connecting them to resources for housing supply, and liaising with landlords.
Research and develop opportunities for increasing campus programming.
Develop opportunities to receive and measure feedback from program participants.
Recommend and coordinate appropriate equipment needs for programs and ensure that all equipment meets health and safety standards.

Recruitment (25%)

Develop the schedule of outreach activities for the applicants in the specialized area in collaboration with related departments, specific to Timmins Campus.
Recruit prospective students into degree programs at Algoma University, acting as the lead recruiter for a specialized area.
Research, identify, and develop opportunities for increasing enrollment in the specialized area.
Lead effective liaison with prospective students for the purpose of recruitment, increasing awareness of Algoma University and its attributes.
Responsible for communicating with prospective students, applicants, counsellors, and parents regarding the application process, including important deadlines, required documentation, and academic requirements for admission for all applicant types, including secondary school, college, university transfer, and mature applicants, both domestic and international.
Establish and maintain relationships to promote awareness of Algoma University.
Coordinate a program of visits including education fairs, school visits, and counselling sessions, both domestic and international.
Maintain detailed records of visits, presentations, and prospective students.
Present special-topic information to domestic secondary schools, colleges, and universities.
Create promotional presentations and special topic information sessions to advance strategic enrollment within the specialized area.
Complete all inquiry follow-up activities in a timely manner across various mediums, including phone, email, and social media platforms.
Communicate admissions decisions with applicants.
Communicate effectively with prospective students and applicants from the first point of contact through to registration.
Provide admission-related advising as required.
Assist with the registration of newly admitted students as required.

Administration / Other Duties (10%)

Work with the Student Success team to create and distribute surveys to students on the satisfaction of service, including annual student experience surveys.
Collect, analyze, and maintain comprehensive data regarding student participation in student life activities, and develop a campus profile of student activities, needs, and preferences.
Create and promote internal awareness of student satisfaction and the importance of service to students, including the annual student satisfaction/experience survey.
Coordinate logistics and participate in university events, as required.
Update service area content on the university website.
Assist with budget tracking as outlined by leadership.
Participation in internal (e.g. Joint Health & Safety) and external (e.g. IDERD, Transit, BIA safety) committees, as required.
Other related duties, as required.

WORKING CONDITIONS:

MINIMUM QUALIFICATIONS

Undergraduate degree in any field, and a minimum of two (2) years of administrative experience in post-secondary education, student services, or academic support, or an equivalent combination of education and experience, is required.
One certification in Mental Health response training (Nonviolent crisis intervention training, ASIST, MHFA, SafeTalk, or equivalent) is required.
Experience in Crisis Intervention and knowledge of Mental Health Services available in the community.
Familiarity with Algoma University programs/Algoma graduate or Timmins secondary and post-secondary institutes is an asset.
Prior experience with post-secondary student recruitment is an asset.
Knowledge of Anishinaabe (First Nation, Métis, Inuit) culture is an asset.
The ability to work effectively with people of diverse backgrounds, styles, and abilities.
Excellent verbal, written, organizational, and communication skills.
Exceptional cross-cultural communication skills.
Computer proficiency; familiarity with G-suite and student information systems is an asset.
Ability to assist with basic information technology troubleshooting and support is preferred.
Ability to work independently for much of the workday.
Valid driver’s license and willingness to travel as required
Vulnerable Police Sector check required.

Salary Scale:

$63,377 to $79,222 annually (prorated to reflect part-time hours)
