We’re recruiting an Administrative Assistant to join a growing Montréal office within the professional services and engineering sector, supporting senior leaders while helping a busy team stay organized, connected and moving forward.

This is a varied role for someone who likes being close to the action without needing to be in the spotlight. You’ll work with leaders who have different working styles, contribute to business development and office initiatives, and have the opportunity to understand the “why” behind processes so you can anticipate needs and make things better.

What’s In It for You

A hybrid schedule with 3 days onsite and 2 days remote
20 paid days off, including sick days
Employer-paid insurance coverage
Exposure to senior leadership and different areas of the business
A collaborative environment where curiosity, initiative and continuous improvement are valued

Your Responsibilities

You’ll support senior leaders with complex calendar management, meeting coordination, regular

travel arrangements and expense submissions.

You’ll prepare, edit and polish reports, presentations and professional communications, with particular attention to the quality of written French.
You’ll support business development activities through CRM updates, research, meeting coordination and preparation of smaller proposals and submissions.
You’ll help coordinate office activities, events, onboarding and health and safety administration.
You’ll build an understanding of internal processes and proactively identify opportunities to improve administrative workflows and team efficiency.
You’ll provide responsive support across the office while handling confidential information with discretion and sound judgment.

Skills and Qualifications

3+ years of administrative, executive support, office coordination or similar experience
Excellent written and spoken French, plus professional English communication skills
Strong Microsoft 365 skills, including Outlook, Word, Excel, PowerPoint, Teams and SharePoint
Experience with calendar management, travel coordination and expense systems, with Concur experience considered an asset
Comfort learning CRM platforms, Microsoft Copilot and other business systems
Strong attention to detail, curiosity, adaptability and a process-driven mindset
Experience in engineering, architecture, consulting or professional services is considered an asset

Note from the Hiring Manager

We’re looking for someone who genuinely enjoys supporting leaders and wants to build their career in administration. Someone curious, adaptable and proactive who asks questions, understands why we do things and isn’t afraid to suggest a better way.
