  • Organize and maintain schedules, including meetings, appointments, calendar updates, reminders, and special events.
  • Maintain organized Google Drive systems, electronic filing structures, corporate records, and other supporting office records.
  • Administer commercial parking accounts, including tenant allocations, account changes, and related record keeping.
  • Prepare correspondence, documents, spreadsheets, and other office materials as required.
  • Provide general office administrative support, including document preparation, filing, telephone coverage, correspondence, and coordination of day-to-day office requirements.
  • Perform additional duties and responsibilities as assigned from time to time.

Accounts Payable & Transaction Processing

  • Process accounts payable and accounts receivable transactions.
  • Assist with rent roll administration and tenant-related financial matters.
  • Maintain organized physical and digital files of accounting records, invoices, statements, and supporting documentation.
  • Enter and maintain applicable accounting information and supporting documentation in QuickBooks.
  • Assist with routine bookkeeping and follow-up as required.

Skills and Qualifications

  • Previous experience in commercial real estate, commercial property management, or lease administration is required
  • Strong understanding of commercial leases, renewals, tenant coordination, rent rolls, and ongoing lease administration.
  • Strong proficiency with Microsoft Excel and Word, Google Sheets, Google Drive, and Gmail.
  • Working knowledge of QuickBooks is preferred.
  • Strong organizational skills with excellent accuracy, attention to detail, discretion, and follow-through.
  • Confident, professional communication skills when working with tenants, contractors, lawyers, and external service providers.
  • A proactive, resourceful approach with the ability to manage changing priorities and independently resolve routine issues.
