Your Responsibilities
- You'll manage inbound customer inquiries, coordinate appointments, and ensure every opportunity has a clear next step.
- You'll oversee scheduling and job coordination using Monday.com, confirming jobs are fully prepared before dispatch.
- You'll maintain complete job documentation, track rebate applications, and ensure records remain accurate and accessible.
- You'll support billing by coordinating invoices, monitoring receivables, and documenting payment follow-up.
- You'll coordinate purchasing, inventory, fleet administration, and safety documentation while working closely with internal stakeholders.
- You'll identify process improvements, resolve day-to-day operational issues, and provide leadership with regular operational status updates.
Skills and Qualifications
- 3+ years of progressive office operations, project coordination, construction administration, or field service administration experience.
- Experience coordinating schedules, customer communications, and administrative workflows in a fast-paced environment.
- Strong working knowledge of Monday.com or similar project and workflow management platforms.
- Experience supporting billing, receivables, rebate administration, or accounts payable processes.
- Excellent organizational skills with exceptional attention to detail and the ability to manage multiple priorities.
- Strong communication and relationship-building skills with customers, field teams, and internal stakeholders.
- Proficiency with Microsoft Office and a continuous improvement mindset.
