Join a growing construction services organization where you'll play a central role in keeping operations running smoothly from the first customer inquiry through project completion. As the Office Operations Manager, you'll connect customers, sales, operations, and finance by ensuring every job is organized, documented, and moving forward efficiently.

Your Responsibilities

You'll manage inbound customer inquiries, coordinate appointments, and ensure every opportunity has a clear next step.

You'll oversee scheduling and job coordination using Monday.com, confirming jobs are fully prepared before dispatch.

You'll maintain complete job documentation, track rebate applications, and ensure records remain accurate and accessible.

You'll support billing by coordinating invoices, monitoring receivables, and documenting payment follow-up.

You'll coordinate purchasing, inventory, fleet administration, and safety documentation while working closely with internal stakeholders.

You'll identify process improvements, resolve day-to-day operational issues, and provide leadership with regular operational status updates.

Skills and Qualifications

3+ years of progressive office operations, project coordination, construction administration, or field service administration experience.

Experience coordinating schedules, customer communications, and administrative workflows in a fast-paced environment.

Strong working knowledge of Monday.com or similar project and workflow management platforms.

Experience supporting billing, receivables, rebate administration, or accounts payable processes.

Excellent organizational skills with exceptional attention to detail and the ability to manage multiple priorities.

Strong communication and relationship-building skills with customers, field teams, and internal stakeholders.

Proficiency with Microsoft Office and a continuous improvement mindset.
