Original job description

Project Administrator

Location: Toronto, ON (Hybrid, 4 days on-site, Fridays remote)

Language: Strong written and verbal communication skills in English

Duration: 6-month contract, with potential for extension

Compensation: $27-29 hourly

About the Opportunity

Are you a detail-oriented Project Administrator who enjoys keeping projects organized, finances on track, and teams connected? We're looking for a proactive professional to join a collaborative Construction Services team within a leading real estate organization in Toronto.

In this role, you'll support multiple construction projects, balancing project administration, financial tracking, and documentation management. You'll work closely with an experienced colleague and a supportive team, taking ownership of smaller projects while helping ensure completed projects are properly closed out.

What's In It for You

Join a welcoming, hardworking team that values collaboration, initiative, and mutual support.

Gain exposure to construction project administration, financial processes, and project closeout activities.

Enjoy a hybrid schedule, with Fridays working from home and a transit-accessible office.

Take on meaningful responsibilities with the potential for a contract extension.

Your Responsibilities

You'll coordinate day-to-day project activities, including scheduling, stakeholder communications, contractor access, security arrangements, and deadline tracking.

You'll take ownership of project closeouts, ensuring all required documentation, financial records, and closeout reports are complete and properly filed.

You'll maintain Excel spreadsheets to track project budgets, expenditures, forecasts, and financial information.

You'll support invoice processing, purchase orders, contractor payments, cost coding, and monthly financial reporting deadlines.

You'll review contractor and consultant invoices, reconcile discrepancies, and collaborate with accounting teams to support timely payments.

You'll maintain project records, contracts, permits, tender documentation, and progress reports while supporting multiple project timelines.

Skills and Qualifications

2+ years of experience in project administration or coordination, ideally within construction, real estate, or property management.

Strong Excel skills, including experience maintaining budgets, tracking expenditures, and organizing financial data.

Familiarity with financial documentation, invoice processing, purchase orders, budget reporting, and project cost tracking.

Previous experience managing project closeout documentation and understanding the steps required to formally close completed projects.

Experience with Yardi is a strong asset; familiarity with Procore or similar project management systems is also valued.

Excellent organizational and communication skills, with the ability to manage competing deadlines and collaborate effectively.

A proactive, helpful approach, with the confidence to ask questions, take initiative, and support teammates.
