Are you a detail-oriented administrative professional who thrives in a structured, fast-paced environment? We're looking for a Regulatory Support Clerk to join the Corporate Finance team of a leading financial regulatory organization in Toronto. This opportunity is ideal for someone who enjoys working with data, managing documentation, and ensuring processes run smoothly.

In this role, you'll work alongside regulatory professionals and administrative teams to support securities filings, financial transactions, and application processing. Your accuracy, organization, and ability to manage competing priorities will help maintain efficient and compliant operations.

What's In It for You

  • Gain valuable experience within Canada's financial regulatory sector.
  • Work alongside knowledgeable professionals in a collaborative, team-oriented environment.
  • Build your expertise in securities regulation, compliance processes, and financial administration.
  • Potential for long-term contract extension.

Your Responsibilities

  • You'll review and process exempt market filings, identify discrepancies or duplicate submissions, and coordinate corrections with issuers.
  • You'll administer filing fees, process payments and refunds, and maintain accurate financial records and reconciliations in Excel.
  • You'll support application intake by verifying documentation, assigning file numbers, updating databases, and directing submissions to appropriate staff.
  • You'll coordinate the opening and closing of regulatory applications, including security checks, acknowledgements, document distribution, and file maintenance.
  • You'll respond to inquiries from law firms and companies regarding filing procedures, application requirements, and associated fees.
  • You'll prepare, edit, compare, and distribute documents using Microsoft Word, Excel, and PowerPoint.
  • You'll maintain accurate records across databases and SharePoint, prepare spreadsheets, and provide administrative support to the broader team.

Skills and Qualifications

  • 2+ years of administrative experience in a professional office environment, including supporting multiple managers or professional staff.
  • Post-secondary education in business administration, office administration, or a related program.
  • Intermediate to advanced Microsoft Office skills, particularly Excel, Word, and PowerPoint, with experience managing spreadsheets and databases.
  • Strong attention to detail, organizational skills, and the ability to manage multiple deadlines accurately.
  • Excellent written and verbal communication skills, with confidence responding to inquiries from internal and external stakeholders.
  • Familiarity with the Ontario Securities Act, securities regulations, regulatory filings, or related policies is considered an asset.
  • Experience with SharePoint, document management systems, or regulatory filing platforms such as SEDAR+ is an asset.
