Job Description

As an Administrative Assistant, Transportation, you will provide administrative support to the transportation operations. You will coordinate documents, follow up on schedules, and communicate with drivers and internal teams to ensure the smooth operation of activities.

What you'll be responsible for:

Providing daily administrative support to the transportation department, including training, toolbox talks, Maximo, PPE, lockers, uniforms, ordering, and driver’s licenses;
Validating timesheets and keeping employee tracking dashboards up to date;
Compiling data and producing various administrative reports;
Supporting Human Resources activities to ensure deadlines are met;
Managing document filing and archiving;
Collaborating closely with key stakeholders, including dispatchers, site managers, and drivers;
Preparing and following up on expense claims;
Processing payments for driver invoices;
Balancing the cash at the end of each day;
Performing general accounting tasks;
Replacing scale clerks or dispatchers as needed;
Performing any other related duties.

Qualifications

To join our team

You have a diploma in administration, office administration, logistics, or a related field;
You have 2 to 3 years of experience in administrative support or a similar field, or an equivalent combination of education and experience;
You have strong knowledge of Microsoft Office Suite (Excel, Word, Outlook);
You have good proficiency in both French and English, spoken and written (an asset);
You have experience in the transportation industry (an asset);
You have knowledge of transportation and logistics software (an asset);
You have excellent interpersonal and customer service skills;
You have strong organizational and prioritization skills;
You have a strong attention to detail and a high level of accuracy;
You have the ability to work effectively in a team and collaborate with others;
You have strong autonomy, versatility, and resourcefulness.
