Position: Shipping & Receiving Coordinator

Location: Markham, Ontario, Canada

Reports to: Facilities Manager

Position Summary

The Shipping & Receiving Coordinator is responsible for coordinating the day-to-day shipping, receiving, storage, and movement of materials, products, samples, equipment, and other supplies at the HSIO Markham location. The role ensures incoming and outgoing shipments are processed accurately and on time, required documentation is complete, inventory and stockroom records are maintained, and materials are handled safely and efficiently.

The coordinator works closely with internal teams, carriers, suppliers, and other service providers to support business requirements and resolve shipping or receiving issues.

Responsibilities

The Shipping & Receiving Coordinator’s responsibilities will include, but are not limited to:

Shipping & Carrier Coordination

Coordinate and process daily outbound shipments, including customer orders, samples, vendor shipments, equipment and internal transfers.
Verify shipment details and prepare accurate shipping labels and required documentation.
Coordinate pickups and deliveries with couriers, freight carriers and other service providers, including urgent or expedited shipments.
Track shipments and resolve delays, damages, discrepancies or documentation issues.
Support customs and import/export documentation requirements, as applicable.

Receiving & Material Handling

Receive incoming materials, products, equipment, samples and supplies and verify deliveries against purchase orders and receiving documentation.
Identify and communicate shortages, damages or discrepancies and coordinate with Quality or other teams when additional review is required.
Accurately record, route and store received materials.
Safely move materials and products within shipping, receiving and storage areas.

Inventory & Stockroom Management

Maintain accurate inventory and stockroom records and ensure materials and supplies are properly identified and stored.
Perform routine cycle counts and investigate inventory discrepancies.
Maintain clean, organized and safe shipping, receiving and storage areas in accordance with 5S and workplace requirements.

Operational Support

Respond to shipping and receiving requests and provide timely updates to internal stakeholders.
Collaborate with Facilities, Quality, Finance, Operations and other teams to support shipping and material requirements.
Maintain required shipping and receiving records and follow established company and health and safety procedures.
Support continuous improvement activities and perform other related duties as required.

Qualifications

Post-secondary education in logistics, supply chain, warehousing, business administration, or related field preferred.
Previous shipping, receiving, warehouse, or logistics experience preferred.
Experience coordinating courier and freight services.
Ability to prioritize and manage time-sensitive shipping requirements.
Knowledge of shipping, import/export, and customs documentation is an asset.
Proficiency with Microsoft Office.
Strong communication and collaboration skills.
Ability to safely handle and move materials and packages.
