Original job description

The Position

Anova is seeking an Office Manager to run its head office in downtown Calgary. The Office Manager owns how the office works day to day, from reception and the building to vendors, purchasing and office spending. It is a hands-on role in a small, growing head office, with real scope to build better systems.

Responsibilities

Manage day-to-day office operations, including visitors, the main phone line, the general inbox, mail and couriers.
Run reception until we add a receptionist, then hire and supervise them.
Be the day-to-day contact for building management and office vendors, from access and repairs to cleaning and service contracts.
Manage supplies, equipment and furniture, including purchasing, the asset register and office moves.
Track office spending against budget and match office invoices to orders.
Assist with general accounting tasks and accounts payable.
Have each new employee’s workspace, equipment and access ready before their first day.
Organize Board and team meetings and office events.
Maintain corporate records in SharePoint, shared mailboxes and room bookings.
Serve as the office’s fire warden.

Qualifications

Five or more years running an office, with a proven track record as an office manager. Experience from any industry counts.
Experience leading an office project such as a relocation, renovation or fit-out.
Comfort with budgets, purchasing and invoices.
Strong Microsoft 365 skills, including Outlook, Excel, Teams and SharePoint.
Clear writing, sound judgment and discretion with confidential information.
Able to work from the Calgary head office.
