WHO YOU ARE:
We are looking for an International Logistics Coordinator to join our team! The International Logistics Coordinator plays a key role in managing Ardene’s international shipments, with a primary focus on direct origin-to-destination shipments across the Middle East and Venezuela. This role oversees the end-to-end logistics process, including shipping documentation, vendor follow-ups, shipment coordination, and invoice auditing. This is a temporary contract for a maternity leave replacement. Responsibilities include, but are not limited to:
Direct Origin-to-Destination International Logistics (Primary Focus)
- Global Shipment Tracking & Visibility: Maintain daily In-Transit status reports and manage tracking boards (including Trello) to monitor direct origin shipments bound for international destinations (Middle East and Venezuela).
- International Trade Compliance & Auditing: Request, verify, and audit critical export/import documentation from global suppliers prior to movement, including Commercial Invoices, Packing Lists, and Bills of Lading (BOL).
- International Vendor Follow-Up: Actively follow up with overseas suppliers to resolve document discrepancies, missing paperwork, or shipping delays.
- Digital Archiving: Maintain structured digital filing on shared network drives for international trade records (Invoices, Packing Lists, B255s, BOLs).
Canadian Inbound Imports & Local Operations (Backup Support)
- Domestic & Import Coverage: Provide cross-coverage for Canadian inbound shipments, local vendor orders, and imported goods arriving at domestic Distribution Centers (DCs).
- Local Compliance Verification: Inspect and archive local shipping documentation and product safety testing certificates (e.g., Children’s Product Certificates / CPC, Drop Ball Certificates).
- DC Receiving Administration: Serve as back-up support for generating and preparing LOAD numbers in internal systems for Distribution Center receiving schedules.
Transportation Invoice Audit & Accounts Payable
- Courier & Freight Audit: Review, reconcile, and log small-parcel and express carrier billing (e.g., Canada Post, Purolator) via weekly tracking logs.
- System Entry: Process approved freight and transport invoices through SageAPA for accounting reconciliation.
Vendor & Buyer Communication
- Cross-Functional Communication: Serve as the central communication link between buyers, international suppliers, and domestic vendors to resolve operational inquiries, request tracking numbers, and address supply chain bottlenecks.
WHAT YOU’LL NEED:
- Experience: 2–4 years in international supply chain, freight forwarding, or import/export logistics coordination.
- Focus Area: Strong understanding of direct origin-to-destination international shipping workflows and document compliance.
- Technical Skills: Proficiency in MS Excel (shipment tracking & invoice logs), SageAPA (or AP invoice processing workflows), and visual tracking platforms (Trello).
- Core Competencies: High attention to detail, proactive multi-vendor follow-up, and strong problem-solving skills across international time zones.
