Aspen Land Group Inc. is a small environmental consulting company located in Edmonton, Alberta, that has been providing consulting services to Alberta’s aggregate industry for more than 15 years. We offer a dynamic work environment that encourages and supports the growth and development of our employees.

We’re seeking an energetic, organized, and enthusiastic individual to join our team to fill the Bookkeeper/Office Administrator position on a permanent part-time or full-time basis (approximately 30 - 40 hours per week), with some flexibility in scheduling.

Key Responsibilities

Manage bookkeeping functions, including accounts payable, accounts receivable, bank reconciliations, and invoice processing.
Prepare and issue client invoices based on approved timesheets, reimbursable expenses, project terms, and billing rates.
Maintain and/or assist project managers with project accounting records, including work-in-progress, unbilled time and expenses, project budgets, and financial reports.
Monitor accounts receivable and follow up on outstanding client balances in coordination with management.
Review employee expense claims and corporate credit card transactions and complete related reconciliations.
Review staff timesheets for accuracy and completeness and prepare payroll.
Support month-end and year-end processes, including preparation of records and coordination with the external accountant.
Support administrative accountability and follow-up across the team.
Maintain project, client, vendor, subcontractor, and contract records, including insurance and other required documentation.
Manage day-to-day office administration, including answering telephone and email inquiries; maintaining electronic and hard-copy files; managing office supplies and inventory; maintaining and organizing vehicle inspections/vehicle repairs as needed; and assisting with the preparation of safety reports, monthly office safety inspections, maintaining records, and liaising with the Health and Safety Coordinator and staff.
Collaborate with management to develop and improve administrative processes, systems, and workflows.

Required Skills

Relevant education or training in business administration, accounting, or a related field.
A minimum of two years of relevant experience; five or more years is preferred.
Experience in environmental consulting, engineering, professional services, or another project-based organization is preferred.
Proficiency with QuickBooks Online, Quickbooks Time, Dext, Microsoft 365 (including Word, Excel, Outlook, and SharePoint), and Adobe Acrobat Pro.
Strong data-entry skills, with a high level of attention to detail and accuracy.
Experience with project-based accounting, time-and-expense billing, work-in-progress tracking, and project budget monitoring is considered an asset.
Ability to interpret project contracts, billing terms, rate schedules, and supporting documentation accurately.
Excellent communication, organizational, and interpersonal skills, with the ability to work effectively both independently and as part of a team.
Demonstrated discretion when handling confidential employee, payroll, client, and financial information.
Ability to organize workload, prioritize tasks, and meet deadlines with minimal supervision in an on-site work environment.
A positive and proactive approach to health and safety.
A valid Class 5 driver’s licence and a clean driver’s abstract.
