The Opportunity

Associated Engineering, a proudly Canadian, employee-owned company is looking for a motivated and detail-orientated Business Support Administrator to join our Saskatchewan Operations Team in Saskatoon, reporting to the Operations Manager and supporting the General Manager.

The Business Support Administrator plays a key role in supporting the Saskatchewan Operations by providing administrative, operational, and organizational support to both the General Manager and the Operations Team. This position serves as a central resource for coordinating business activities, facilitating communication, and supporting operations events and initiatives. The Business Support Administrator is responsible for maintaining accurate records and documentation, assisting with financial and operational reporting and monitoring.

Given the nature of the role, the Business Support Administrator will regularly handle sensitive business, financial, employee, and operational information. As such, a high degree of professionalism, discretion, sound judgment, and commitment to maintaining confidentiality is essential. The successful candidate is expected to safeguard confidential information and exercise appropriate care when managing records, communications, and business matters.

What You’ll Do

Assist the General Manager and Operations Manager in coordination and preparation of Quarterly Forecast Data including comparison to previous years results
Assist the General Manager and Operations Manager in preparation of the annual Business Plan, capital budget and quarterly Operational, Division, Group and PM performance reports
Preparing Month End Feedback report for General Manager via feedback from PMs (and DMs and Project Admins)
Assist General Manager in monitoring of Time Analysis and Project Status reporting.
Provide review and approvals for Saskatoon office related invoices within specified authority limits as well as the Visa monthly reconciliation of receipts
Support updates to annual Rate Table with General Manager
Work with the Operations team to support or take leadership role in the coordination various events.
Drafting memos and procedures for the General Manager and Operations Manager
Assist General Manager in review and tracking of sponsorship requests
Attending, preparing agenda and documenting monthly Performance meetings
Managing documents and supporting the bi-annual Business Planning/Strategic Planning Meetings, quarterly General Managers meeting report
Assisting the General Manager with APEGS Compliance, including: Permit to Practice/seal upload & Notarius registration tracking based on new hires/resignations, etc.
Coordinate AE Today articles on projects/staff
Assist in overseeing the staff cell phone program for Saskatoon
Working with the Operations Team, coordinate training events
Other duties as assigned

Does this sound like you?

Diploma or certificate with a concentration in administration, or related field
Minimum 6 years of experience in relevant support role
Excellent planning and organizational skills
Ability to manage multiple projects and execute work efficiently, sometimes under tight time constraints
Highly effective written and verbal communication skills, and interpersonal skills
Natural attention to detail and quality
Ability to maintain confidential information and exercise discretion at all times
Possess initiative and drive, and can work independently
Computer literacy (MS Word, Excel, PowerPoint, Outlook, online AE systems)
