Job Description

The Accounts Receivable Administrator plays a key role in supporting the full accounts receivable cycle, focusing on accurate invoice processing, collections, and customer account maintenance. This position ensures timely collection of outstanding balances, maintains precise documentation, and provides professional customer service through both phone and written communication.

Responsibilities

Gather copies of invoices and statements of accounts to support collection efforts and maintain accurate documentation.
Assist in identifying and resolving unapplied payments, ensuring proper cash application to customer accounts.
Provide consistent follow-up on outstanding balances by communicating effectively with customers via telephone and written correspondence.
Process credit note adjustments to customer accounts as required, ensuring accuracy and compliance with internal procedures.
Prepare and provide required documentation, including contracts, contact information, and statements of account for customers receiving demand letters.
Perform invoice processing and ensure customer invoices are generated and recorded accurately and on time.
Conduct collections on past due accounts, including collection calls and follow-up activities to reduce aging receivables.
Post bank deposits and accounts receivable payments accurately and in a timely manner.
Perform cash postings and support cash application activities to maintain up-to-date receivables records.
Support billing research and resolve discrepancies related to invoices, payments, and customer accounts.
Collaborate with accounts payable and accounts receivable teams to ensure accurate financial records and smooth transaction processing.
Use Microsoft Office and other systems to maintain records, prepare reports, and communicate with internal and external stakeholders.

Essential Skills

Hands-on experience in accounts receivable, including collections and receivables management.
Proficiency in invoice processing and handling customer invoices accurately.
Experience with past due account collection, including making collection calls and following up on outstanding balances.
Ability to post bank deposits and accounts receivable payments accurately.

Additional Skills & Qualifications

Experience using SAP is an asset.
Ability to work effectively in a structured office environment with defined hours.
Bilingual communication skills are preferred for candidates based in Montreal.

Pay and Benefits

The pay range for this position is $21.00 - $25.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.

Responsabilités

Rassembler les copies de factures et les relevés de compte pour appuyer les efforts de recouvrement et maintenir une documentation précise.

Aider à identifier et à résoudre les paiements non affectés, en veillant à leur bonne imputation aux comptes clients.

Assurer un suivi rigoureux des soldes impayés en communiquant efficacement avec les clients par téléphone et par écrit.

Traiter les ajustements (notes de crédit) sur les comptes clients selon les besoins, en garantissant l'exactitude et le respect des procédures internes.

Préparer et fournir la documentation requise (contrats, coordonnées, relevés de compte) aux clients faisant l'objet de lettres de mise en demeure.

Gérer le traitement des factures et veiller à ce que les factures clients soient générées et enregistrées avec précision et dans les délais.

Effectuer le recouvrement des comptes en souffrance, y compris les appels de recouvrement et les activités de suivi pour réduire l'ancienneté des créances.

Enregistrer les dépôts bancaires et les paiements des clients avec précision et dans les délais.
