Job Title: Administrative Assistant (1:00 PM to 9:30 PM)

Job Description: The Administrative Assistant coordinates and monitors the movement of inbound and outbound cargo to ensure timely and efficient transportation. This role involves scheduling pickups and deliveries, communicating transportation requirements with carriers, drivers, warehouses, and customers, and tracking shipments to provide status updates to customers and internal stakeholders.

Responsibilities

Coordinate and monitor the movement of inbound and outbound cargo.
Schedule pickups and deliveries and communicate transportation requirements.
Track shipments and provide status updates to customers and internal stakeholders.
Prepare, review, and maintain shipping documentation, including bills of lading, manifests, invoices, and transportation records.
Coordinate cargo receiving, storage, and dispatch operations within the terminal.
Communicate with customers, freight carriers, and warehouse personnel to resolve shipment delays, delivery issues, and documentation discrepancies.
Maintain accurate logistics, inventory, and shipment records using company software TRUCKMATE and Microsoft Excel.
Process transportation and shipping requests, ensuring compliance with company procedures and transportation regulations.
Generate reports related to cargo movement, shipment status, inventory, and operational performance.
Collaborate with operations, warehouse, and transportation teams to improve logistics efficiency and customer service.
Ensure compliance with workplace safety requirements and transportation industry standards.

Essential Skills

1+ year of customer service or administrative experience.
Proficiency in Excel for basic data entry.
Experience with TRUCKMATE and dispatch operations.

Additional Skills & Qualifications

Experience in the trucking/transportation industry.
Ability to thrive in a chaotic environment.
High attention to detail and accuracy.
Great time management skills.
Ability to work with multiple personalities.

Work Environment

The work environment includes a team of 6 administrative staff and 2 dispatchers, with another offsite terminal nearby housing 1 additional admin. The working hours are from 1:00 PM to 9:30 PM.
