Job Title: Administrative AssociateJob Description

We are seeking a detail-oriented and customer-focused Administrative Associate to join our team. This role involves working closely with clinical trial teams across multiple countries, ensuring the smooth execution of financial and administrative tasks. The position requires strong organizational skills and the ability to manage various systems and processes to support clinical research operations.

Responsibilities

Collaborate with Clinical Trial teams to verify visit information and procedures in Veeva and Excel templates.
Generate reports to consolidate payment proposals by country, including Investigator, Site, and Patient information.
Confirm financial details with Research Sites to ensure accuracy and timeliness.
Manage payments for Research Sites using SAP, CCOPS, My Buy, and Veeva systems.
Assist Research Sites with account reconciliation and payment inquiries.
Coordinate with Vendor Master department to create clinical trial-related vendors in SAP.
Configure Research Site information in the CCOPS system for USA and Canada.
Create purchase orders in My Buy system as required.
Collaborate with Clinical Operations Lead for study payment process approvals.
Respond to audit queries and ensure necessary information is registered in systems.
Recommend innovative solutions for payment processes and forecasting.
Support local study teams and Clinical Operations Leads in forecasting and expense management.
Provide training on payment processes and reporting tools to Clinical Research department members.
Maintain control over discrepancy reports to ensure information quality.
Keep systems updated according to pre-established calendar dates.

Essential Skills

Proficiency in Microsoft Office, particularly Excel.
Experience in customer service with a minimum of 2 years.
Strong administrative support and organizational skills.
Ability to navigate web tools and applications effectively.
Cross-functional collaboration with key stakeholders.

Additional Skills & Qualifications

Experience in the clinical or pharmaceutical industry is a plus.
Excellent interpersonal skills.
