Job Title: Benefits Administrative ClerkJob Description

The Benefits Administrative Clerk supports the benefits team by handling incoming mail and documentation, maintaining personnel files in both paper and digital formats, and performing a variety of clerical duties related to employee disability plans. This role focuses on accurate document processing, efficient organization of benefits-related information, and timely communication with internal teams and external providers.

Responsibilities

Receive, sort, stamp, and distribute incoming mail to the benefits teams in a timely and accurate manner.
Assist the benefits team in preparing and maintaining personnel files in both paper and digital formats.
Receive and scan forms related to pay, benefits, tax, employment, and work history, ensuring documents are properly labeled and stored.
Sort documents that need to be placed in personnel files and assist with filing as needed to keep records organized and up to date.
Perform a variety of clerical duties related to the administration of employee disability plans.
Review employee benefits inboxes in Outlook and respond to inquiries from Canada Life, including claim discrepancies, employee schedules, and return-to-work questions.
Reroute emails and inquiries to the appropriate designated team members when required.
Assist benefits administrators with FOI/POP requests by photocopying and organizing personnel files.
Receive the daily courier package from Canada Life, sort and scan documents and cheques, and rename files for the benefits team to process.
Maintain high levels of accuracy and attention to detail in all document handling and data entry tasks.
Communicate clearly and professionally in both written and verbal formats with internal staff and external contacts.
Use MS Office applications and virtual meeting tools to support administrative and benefits-related activities.

Essential Skills

Strong organizational and time-management skills to handle multiple tasks and deadlines effectively.
Proficiency with MS Office, including Outlook, Word, Excel, and PowerPoint.
Ability to use virtual meeting tools to support communication and collaboration.
Excellent written and verbal communication skills for interacting with internal teams and external providers.
Strong attention to detail in document handling, scanning, sorting, and filing.
Comfort with benefits administration and general onboarding and administrative processes.
Ability to manage high volumes of paperwork and digital files while maintaining accuracy and confidentiality.

Additional Skills & Qualifications

Previous benefits administration experience is an asset.
Experience working in an office-based administrative or clerical role is beneficial.
Familiarity with handling confidential personnel information and records is preferred.

Work Environment

This is an in-office position based in a professional office environment at a headquarters location. The role follows a Monday to Friday schedule, typically from 8:00 a.m. to 4:00 p.m. Work is primarily desk-based, involving frequent use of computers, scanners, and office equipment, as well as handling physical mail and courier packages. The dress code is business casual, reflecting a professional yet comfortable office setting.
