  • Coordinate technicians, trades, service providers, and subcontractors on scope, access, timing, paperwork, and completion.
  • Track backlogs, overdue work, recurring deficiencies, service requests, and KPIs; flag risks and support corrective action.
  • Support maintenance forecasts, annual plans, contractor orders, estimates, and additional work requests.
  • Support project plans, milestone and look-ahead schedules, and progress tracking.
  • Track deliverables, actions, decisions, risks, issues, submittals, RFIs, changes, and deficiencies.
  • Assist with budgets, commitments, cost reports, forecasts, progress measurement, and variance reporting.
  • Prepare agendas and minutes, maintain action logs, and follow up on commitments.
  • Review drawings, specifications, scopes, and submittals for gaps, inconsistencies, and required clarification.
  • Support mobilization and demobilization planning for personnel, equipment, materials, access, accommodation, and records.
  • Track field progress, inspections, and outstanding work; escalate issues affecting safety, quality, cost, or schedule.
  • Support subcontract administration and check invoices or progress claims against work records.
  • Promote safety, environmental, and quality requirements; promptly report hazards, incidents, deficiencies, and non-compliance.
  • Coordinate inspections, quality checks, deficiencies, corrective actions, and closeout records.
  • Support commissioning and handover, including manuals, warranties, asset data, and final records.
  • Support closeout, lessons learned, and transition to the client or operations.
  • Coordinate office services, repairs, supplies, equipment, and vendors; track requests to resolution.
  • Coordinate meetings, calendars, agendas, minutes, and follow-up actions.
  • Coordinate onboarding and offboarding logistics, including access, equipment, workspace, forms, and internal introductions.
  • Coordinate employee and visitor travel, accommodation, transportation, itineraries, and required records.
  • Maintain shared files, contact lists, office procedures, records, and trackers with appropriate confidentiality.
  • Liaise with corporate IT, procurement, finance, HR, facilities, and health and safety teams.
  • Track office actions, recurring requirements, requests, and deadlines; suggest process improvements.
  • Support office orientation, communications, and team activities while prioritizing project and client needs.

Qualifications:

  • Post-secondary education in Engineering, Engineering Technology, Architectural Technology, Business, or a related field; equivalent experience may be considered.
  • 3-5 years supporting construction, infrastructure, facilities, industrial, utility, or capital projects; multi-workstream experience is an asset.
  • Working knowledge of drawings, specifications, schedules, procurement, cost tracking, change management, and project records.
  • Experience coordinating vendors, subcontractors, field teams, materials, deliveries, or logistics.
  • Northern, remote, industrial, defense, or federal project experience is an asset.
  • Ability to meet client screening requirements and obtain and maintain security clearance where required.
  • Valid Class 5 driver's license and ability to travel as required.
  • Strong organization, attention to detail, and ability to manage competing priorities.
  • Clear written and verbal communication; able to prepare accurate reports, minutes, trackers, and correspondence.
  • Proficiency with Microsoft 365, especially Excel, Word, Outlook, Teams, and SharePoint; scheduling software is an asset.
  • Experience with project, procurement, ERP, CMMS, or construction systems is an asset.
