Job Summary

Atheris is a scientific communication consulting agency supporting pharma and biotech clients from pre-launch planning to post-launch success. We are looking for a highly organized Resource Manager to join our Operations team and keep our people, projects, and schedules running smoothly. You will keep track of who is working on what, plan upcoming workloads, spot scheduling conflicts early, and give leadership a clear view of future capacity. If you love building order out of moving parts, this role is for you.

Key Responsibilities

  • Maintain an up-to-date view of team availability and workload across all projects
  • Work with Account leads to plan upcoming staffing needs
  • Resolve scheduling conflicts for shared staff; escalate to Operations or Account leadership when needed
  • Track utilization and bench time; share regular capacity reports with leadership, Operations, and Finance
  • Flag when we may need freelance, contractor, or new hire support
  • Own and maintain the resourcing platform as the system of record
  • Provide staffing input for new business proposals and SOWs
  • Flag skill gaps that affect our ability to staff incoming work

Qualifications

  • 3+ years in resourcing, traffic, project coordination, or operations, ideally at an agency
  • Experience with a resource management or scheduling tool (e.g., Kantata, Workamajig, Float, Smartsheet)
  • Strong Excel skills; comfortable building and maintaining reports
  • Proven ability to juggle multiple projects and competing priorities
  • Pharma or healthcare agency experience preferred; willingness to learn MLR processes and compliance timelines
  • Confident making tough prioritization calls under time pressure

We are building a smart-minded, diverse team.  Everyone is welcome to apply.  Accommodations are available upon request throughout the recruitment process.
