Combining our deep technical expertise with a 30-year track record, we deliver innovative, value-add consulting studies, project delivery, asset operations and maintenance solutions to the mining & metals, oil & gas, and industrial sectors.

We are seeking an organized, proactive, and detail-oriented Project Administrator to provide administrative and coordination support to the Project Director and the wider project team. The successful candidate will play an important role in supporting the day-to-day administration of project activities, maintaining accurate documentation, coordinating meetings, tracking action items, and facilitating effective communication across project stakeholders.

This is an office-based role suited to an individual who can manage multiple priorities, maintain well-organized project records, and provide reliable administrative support in a fast-paced project environment. Experience in engineering, construction, mining and minerals, or an EPC/EPCM project environment would be considered an asset.

About The Role

  • Provide day-to-day administrative support to the Project Director and project management team.
  • Coordinate and organize meetings, appointments, workshops, and project reviews.
  • Prepare meeting agendas, record minutes, distribute meeting notes, and follow up on action items.

  • Assist with preparing presentations, reports, correspondence, and other project-related documentation.
  • Support travel arrangements, expense reports, and other administrative requirements as needed.
  • Maintain organized project files, registers, and records in accordance with project procedures.
  • Assist with document control activities, including filing, version tracking, distribution, and retrieval of project documents.
  • Maintain action item logs, decision registers, correspondence logs, and other project tracking tools.
  • Follow up with team members to obtain outstanding information, updates, and deliverables.
  • Assist in compiling project status reports and management updates.
  • Support the coordination of project deliverables, internal deadlines, and reporting requirements.
  • Act as an administrative point of contact for the Project Director and project team.
  • Facilitate communication between project team members, internal departments, clients, and other stakeholders as required.
  • Coordinate the distribution of project information and ensure relevant team members receive timely updates.
  • Assist with onboarding new project team members, including coordinating access requests, documentation, and administrative arrangements.
  • Support collaboration across engineering, procurement, project controls, construction, and other functional teams as required.
  • Assist with preparing purchase requisitions, expense documentation, timesheet reminders, and other administrative paperwork, as required.
  • Maintain confidentiality when handling sensitive project, personnel, and commercial information.
  • Identify opportunities to improve administrative processes, filing systems, and team coordination.
  • Perform other administrative and coordination duties to support the Project Director and successful project execution.

About You

  • Diploma or certificate in Business Administration, Office Administration, Project Administration, or a related field is preferred.
  • Previous experience in a project administrator, project coordinator, executive assistant, or similar administrative support role.
  • Experience supporting senior management or project leadership teams is an asset.
  • Experience in engineering, construction, mining and minerals, or an EPC/EPCM environment is preferred.
  • Proficiency in Microsoft Office applications, particularly Outlook, Word, Excel, and PowerPoint.

  • Strong written and verbal communication skills.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple tasks and competing priorities effectively.
  • Proactive approach to following up on outstanding actions and deadlines.
  • Professional communication and interpersonal skills.
  • Ability to work independently while supporting a collaborative team environment.
