Your area of focus.

AutoCanada is looking for a highly organized Project Coordinator! By working alongside Account Managers, Creative, Media, and Web, you’ll turn priorities into clear next steps, ensuring the right people, information, approvals, and deadlines stay connected from intake through completion. This is an operations first role for someone who enjoys bringing order to fast moving work. Your value is in creating clarity, maintaining momentum, identifying risks early, and helping the department deliver stronger work with less rework. Ultimately, you are the driver that enables the team to move faster and execute better.

What drives your day-to-day?

Own day-to-day project coordination - Set up, organize and maintain marketing and creative projects in ClickUp, including owners, statuses, deadlines, dependencies, links, files and approvals.
Validate incoming requests - Review new briefs for required deliverables, specifications, assets, business context, approvers, creative due dates and campaign live dates before work begins.
Close information gaps - Follow up with Account Management, Media, Web and others when requests are incomplete or decisions are outstanding.
Keep work moving - Track assignments, handoffs, review stages, revisions and approvals by following up proactively and flagging stalled work before it affects delivery.
Protect deadline visibility - Monitor timelines and workload, identify risks early and escalate capacity conflicts, shifting scope or approval delays to the Senior Manager.
Connect the dots between teams - Make sure Media and Web are looped in at the right time to build healthy buffers, so asset deadlines never crash into launch dates.
Streamline the feedback loop - Help gather and consolidate feedback, confirm decision makers and reduce conflicting revision requests.
Keep our work visible - Maintain ClickUp so project status, ownership, next steps, and blockers can be understood instantly, without chasing updates across chats or email.
Support reporting and planning - Prepare recurring workflow updates and help track intake volume, on-time delivery, bottlenecks, revision rounds, turnaround patterns and recurring process issues.
Maintain operating documentation - Keep templates, intake forms, checklists, standards, dashboards and process documentation accurate and easy for teams to use.
Confirm completion - Ensure final handoffs, links, approvals and task documentation are captured before work is closed.

What are the must-haves…

2-4 years of experience in marketing coordination, project coordination, agency traffic or a similar fast-paced role.
Strong project management fundamentals and confidence managing many active requests with competing deadlines.
Hands on experience with ClickUp, or a comparable work-management platform. Be comfortable building tasks, maintaining statuses and using dashboards or reports.
Excellent written communication and follow-up skills, with the confidence to ask clarifying questions and hold team members accountable to deadlines.
You have an obsession for detail. You can spot the missing link in a creative brief or the conflicting dates on a timeline before anyone else does.
You don't just solve the problem in front of you, you think about how to build a template, checklist, or process so the problem doesn't happen again.
Working knowledge of creative production, digital marketing or campaign workflows is an asset. • Experience supporting multi-location, automotive or high-volume marketing environments is an asset.

You are comfortable working with different personalities and follow up relentlessly but kindly, until you get what the project needs.
