Position Overview

We’re searching for an experienced Executive Assistant to support our Sr. Director, Go-to-Market (GTM) Data & Intelligence (GDI), and his global team. In this role, you’ll provide proactive, high-quality administrative support and coordination to help the Sr. Director and GDI leadership team operate effectively.

You will manage complex calendars, coordinate meetings and events, support leadership communications, organize team information, handle confidential matters with discretion, and help ensure day-to-day operations run smoothly. This role requires strong attention to detail, sound judgment, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

You will report to the Sr Director, GTM Data & Intelligence, and this position is hybrid based out of Toronto, Denver, or San Francisco.

Responsibilities

Manage complex calendars for the Sr. Director of GDI, including scheduling meetings, resolving conflicts, coordinating with stakeholders, and helping ensure their time is organized around key priorities
Coordinate executive travel in partnership with Corporate Travel, including booking and modifying itineraries, researching travel requirements, supporting visa processes, and managing travel logistics. Will travel with executive as needed, approximately, 2-4 times per year
Coordinate internal and external meetings by scheduling attendees, reserving rooms, preparing agendas and materials, arranging technology, confirming logistics, and ensuring participants have the information they need
Support leadership meetings, staff meetings, All Hands, manager calls, planning sessions, and employee & business reviews by helping capture notes, document action items, and track follow-up items
Work with Finance and accounts payable to track expenses and purchase orders for team activities, travel and contractors, and ensure payments are processed accurately
Partner with the leadership team to support recurring meeting cadences, leadership communications, team coordination, and administrative follow-through
Manage event logistics, including venue coordination, A/V, catering, attendee communications, materials, travel details, onsite logistics, directions, maps, and related support
Support GDI-wide communications by coordinating timelines, collecting inputs, preparing draft materials, formatting updates, and helping ensure communications are clear, timely, and well organized
Maintain team information systems, including Slack channels, email aliases, distribution lists and directories
Handle confidential information related to employees, company operations, organizational changes, leadership discussions, and business priorities with discretion and sound judgment
Build positive working relationships across all levels of the organization and with external partners, representing the VP and GDI team with professionalism, discretion, and tact
Identify opportunities to improve administrative processes, meeting logistics, documentation, team information management, and day-to-day coordination

Minimum Qualifications

2-5+ years of experience providing administrative support to senior leaders
Experience managing complex calendars, coordinating meetings, preparing materials, supporting communications, booking travel, and processing expenses
Ability to work in a fast-paced environment requiring strong prioritization, attention to detail, discretion, and follow-through
Ability to handle confidential and sensitive information with professionalism and sound judgment
Comfort with ambiguity and change; able to adapt quickly, stay organized, and help bring structure to administrative processes
Strong written and verbal English communication skills, including the ability to draft clear and professional emails, memos, and meeting materials
Proficiency with Microsoft Office and collaboration tools, including Outlook, PowerPoint, Excel, Word, Slack, Microsoft Teams, and Microsoft SharePoint
Experience coordinating meetings, events, travel, onboarding logistics, team documentation, or internal communications
Prior experience planning global offsites, events, and all-hands meetings
Strong interpersonal skills and ability to build productive working relationships with leaders, peers, team members, and cross-functional partners
Results-oriented team player with a customer-service mindset
Prior experience working in the Tech industry preferred
Ability to travel to events or internal meetings, locally and internationally, approximately 2-4 times per year

Salary transparency

Salary is one part of Autodesk’s competitive compensation package. For Canada based roles, we expect a starting base salary between $61,000 and $89,100. Offers are based on the candidate’s experience and geographic location, and may exceed this range. In addition to base salaries, our compensation package may include annual cash bonuses, commissions for sales roles, stock grants, and a comprehensive benefits package.
