Position Summary

The Facilities Assistant supports the Facilities Manager in the day-to-day operation, maintenance, and upkeep of company facilities. This position is responsible for assisting with general building maintenance, minor repairs, facility inspections, material handling, furniture moves, cleanliness, and other tasks required to maintain a safe, clean, and functional workplace.
The ideal candidate is dependable, hands-on, organized, and comfortable working independently while also supporting the broader Facilities team. This role requires someone who takes pride in their work, demonstrates good attention to detail, and is willing to learn a variety of facility-related skills.

Key Responsibilities

Building Maintenance & Repairs

Perform general maintenance and minor repairs throughout the facility.
Assist with repairs involving doors, hardware, walls, ceilings, fixtures, furniture, and other building components.
Perform basic troubleshooting and identify maintenance issues requiring additional support.
Complete routine facility inspections and report deficiencies or potential hazards.
Assist with preventative maintenance activities and scheduled maintenance programs.
Replace basic items such as light fixtures, filters, hardware, signage, and other facility components as required.
Maintain tools, equipment, and maintenance supplies in an organized and serviceable condition.

Facility Operations

Assist with the day-to-day operation and upkeep of the facility.
Monitor general building conditions and report issues to the Facilities Manager.
Assist with facility preparation for meetings, events, inspections, renovations, and other activities.
Assist with maintaining storage areas, mechanical spaces, work areas, and common areas in an organized condition.
Support building access, key, and facility security procedures as required.
Assist with seasonal maintenance activities, including snow, ice, landscaping, and exterior upkeep.

Material Handling & Furniture

Move, assemble, disassemble, and arrange office furniture and equipment.
Receive, unload, transport, and organize materials and supplies.
Assist with deliveries, pickups, and off-site storage requirements.
Safely handle materials and equipment weighing up to approximately 50 lbs.
Maintain organized storage areas and assist with inventory of facility supplies.

Cleaning & General Upkeep

Perform general cleaning and housekeeping duties as required.
Maintain cleanliness of maintenance areas, storage spaces, and facility equipment.
Assist with waste, recycling, and disposal activities.
Respond to spills, minor damage, and other facility issues in a timely manner.

Contractor & Service Support

Assist contractors and service technicians with access to work areas and building systems.
Help prepare work areas for scheduled maintenance, inspections, and repairs.
Escort contractors throughout the facility when required.
Report completed work, deficiencies, or concerns to the Facilities Manager.
Follow established procedures when working around contractors and service providers.

Health and Safety

Follow all company health and safety policies and procedures.
Use appropriate personal protective equipment (PPE) when required.
Maintain safe work practices when using tools, ladders, equipment, and cleaning products.
Report hazards, incidents, damaged equipment, and unsafe conditions promptly.
Participate in required health and safety training.

Other Duties

Support facility projects, renovations, and improvement initiatives.
Assist the Facilities Manager with special projects and assigned tasks.
Provide support to other departments when facility-related assistance is required.
Perform other duties as assigned.

Qualifications & Experience

Previous experience in facilities maintenance, building maintenance, construction, property maintenance, or a related field is considered an asset.
Basic knowledge of building maintenance and repair practices.
Comfortable using common hand and power tools.
Ability to perform basic troubleshooting and identify maintenance issues.
Good organizational and time-management skills.
Ability to work independently with limited supervision.
Strong attention to detail and a commitment to maintaining a clean and safe work environment.
Good communication and interpersonal skills.
Ability to safely lift and move materials and equipment up to approximately 50 lbs.
Valid driver's licence is considered an asset.
First Aid/CPR, WHMIS, Ladder Safety, Working at Heights, or other relevant training is considered an asset.

Physical Requirements

This position is hands-on and requires the ability to:

Stand, walk, bend, kneel, crouch, and work in various positions for extended periods.
Safely lift, carry, push, and pull materials and equipment.
Work on ladders and access areas of the facility as required.
Perform repetitive physical tasks when necessary.
Work indoors and outdoors in varying weather conditions.
