Our client is currently seeking an Executive Assistant. This person will be responsible for assisting the President and partners with all day-to-day operations. Duties and Responsibilities:

Managing the executive schedule: Planning, organizing, and updating the President’s schedule to ensure the efficiency of their workdays;
Coordinating meetings and events: Booking restaurants or caterers, arranging meetings, coordinating business travel and corporate events, including preparing necessary documents;
Accounting and finance: Managing monthly expense accounts, tracking cash deposits, processing bill payments in the systems, and handling month-end procedures;
Client and candidate communication: Serving as the first point of contact by phone and in person at the office with clients and candidates, ensuring professional and effective communication. Follow up on unsolicited applications (CVs) received via email;
Special Projects: Participate in the management of special projects such as website maintenance, social media communication management, and the acquisition of new tools;
Office Supply Management: Ensure the office is well-stocked with coffee, dishes, snacks, and supplies necessary for its smooth operation;
Administrative support: Preparing documents required for the recruitment process, including updating the client portal in the ATS. Facilitating daily SCRUM meetings to track ongoing tasks;
Personal assistance to the president: Managing various in-store or online purchases to support the president during his very busy days;
Improvement initiatives: Encourage and implement any initiative aimed at improving operational efficiency and the company’s market positioning

Required education and qualifications:

Degree in administration, office management, accounting, management, or any other related field;
Minimum of 2 years of experience as an executive assistant or in administrative management;
Excellent organizational, time management, and communication skills;
Ability to work independently while maintaining a high level of professionalism and confidentiality;
Excellent writing skills;
Knowledge of office tools and project management software is a plus;
Ability to adapt to a constantly changing environment while maintaining a high level of attention to detail;
Knowledge of QuickBooks accounting software is a significant asset;
Initiative and a commitment to continuous improvement;
Bilingualism (French and English).

Formation, aptitudes et expérience requises

Excellentes compétences en organisation, gestion du temps, et communication;
Capacité à travailler de manière autonome tout en maintenant un haut niveau de professionnalisme et de confidentialité;
Excellente qualité rédactionnelle;
Connaissance des outils bureautiques et logiciels de gestion de projets est un atout;
Aptitude à s'adapter à un environnement en constante évolution tout en gardant un haut niveau de rigueur;
Connaissance du logiciel comptable Quickbooks est un atout très intéressant;
Esprit d’initiative et d’amélioration continue;
Bilinguisme (Français et Anglais).
