Bayswater Toronto is looking for an experienced and student-focused Student Services & Accommodation Coordinator to join our team. This role is responsible for supporting students throughout their experience at Bayswater, with a particular focus on homestay/residence and accommodation operations. The successful candidate will have hands-on experience managing homestay programs, including recruiting and screening host families, conducting home inspections, arranging student placements, monitoring student and host satisfaction, and resolving accommodation concerns and conflicts.

Key Responsibilities

Accommodation - Homestay & Residence

Recruit, interview, screen, and onboard new homestay host families.
Conduct home inspections to ensure homes meet Bayswater standards and student needs.
Maintain accurate and up-to-date host family records, availability, preferences, and documentation.
Match students with appropriate host families based on student requirements, interests, preferences, and accommodation availability.
Coordinate student arrivals, departures, transfers, extensions, and accommodation changes.
Maintain regular communication with host families, residence providers, and students throughout their stay.
Respond promptly and professionally to accommodation concerns, complaints, incidents, and emergencies.
Mediate and resolve student accommodation issues and conflicts, using sound judgment and a student-focused approach.
Develop and maintain strong relationships with host families, residence partners, and accommodation providers to support availability and service quality.
Coordinate with airport transfer providers as required.
Ensure accommodation placements comply with safeguarding requirements, company policies, local regulations, and quality standards.
Liaise with residence staff regarding student check-ins, check-outs, room moves, maintenance requests, and welfare concerns.
Monitor residence capacity, availability, and booking forecasts to support enrolment and operational planning.
Maintain accurate accommodation records, invoices, booking data, and reports within relevant systems.
Identify opportunities to improve student satisfaction, accommodation quality, operational efficiency, and partner relationships.

Student Services

Provide friendly, professional, and timely support to students throughout their studies.
Serve as the first point of contact for student enquiries relating to school services, accommodation, transportation, local resources, and student life.
Support student arrivals, orientation programmes, and overall student wellbeing.
Handle student concerns and welfare matters professionally, maintaining confidentiality and escalating issues as required.
Assist with the planning and delivery of student activities, events, excursions, and community engagement initiatives.
Create and share content for social media channels in line with company guidelines.
Maintain accurate student records, files, and documentation in accordance with company policies, compliance requirements, privacy legislation, and internal procedures.
Collaborate with Academic, Admissions, Accommodation, Sales, and Operations teams to ensure a seamless and positive student experience.
Support after-hours emergency response for student welfare, accommodation, or operational issues as required.

Qualifications & Experience

Required:

Previous professional experience in homestay, student accommodation, international education, student services, or a similar environment.
Demonstrated experience with:
- Homestay host recruitment and screening
- Host family interviews and onboarding
- Home visits and accommodation inspections
- Student/host matching and placements
- Accommodation changes and transfers
- Conflict resolution and complaint management
- Supporting students with accommodation-related concerns
Strong interpersonal and communication skills.
Excellent organizational and administrative skills.
Ability to manage multiple student and host requests while meeting deadlines.
Strong problem-solving skills and sound judgment.
Ability to work independently while also collaborating effectively with a team.
Professional, approachable, and culturally sensitive manner.
Strong attention to detail and accurate record keeping.
Proficiency with Microsoft Office and the ability to learn student/accommodation management systems.

Preferred:

Experience working with international students or in an international education environment.
Experience working with students from diverse cultural backgrounds.
Experience with accommodation management software or CRM/student information systems.
Knowledge of the Toronto housing and homestay market.
Additional languages are an asset.
