Job Description

Reporting to the Senior Marketing Manager, the Bilingual RFP and Contracting Specialist is responsible for driving operational excellence throughout the full RFP lifecycle and contracting activities.

The role will leverage, strengthen, and maintain a robust RFP process while establishing core competencies for disciplined contracting and proposal development. As a key member of the team, this role will partner across functions to improve handoff processes, enhance collaboration with commercial teams, and contribute to the Waters’ operations strategy. This role will also act as an escalation point, working with sales and marketing leadership to prioritize deliverables effectively.

During integration, the role will support contract migration, readiness planning, and CLM implementation while partnering with Legal, Sales, Marketing, Finance, and Operations to ensure a seamless transition. Post-integration, the role will own and optimize the CLM framework, negotiate and execute commercial agreements, establish contracting standards, manage regulatory compliance, and drive continuous process improvement.

Responsibilities During Integration (First 12–36 Months)

Prepare, review, and facilitate the migration of existing contracts to ensure readiness for transition into the Waters contract management system.
Identify and escalate contracts, terms, or conditions that may require renegotiation prior to transfer to Waters.
Support cross-functional workstreams involved in CLM onboarding and implementation to ensure the solution meets business requirements and operational needs.
Partner with BD and Waters Legal teams on contract reviews, terms and conditions assessments, and customer negotiations to ensure timely and effective responses.
Develop, standardize, and maintain approved terms and conditions for use in RFP responses and commercial agreements.

Responsibilities Post-Integration

Lead cross-functional alignment and collaboration to support business strategy, tactical execution, performance measurement, and commercial effectiveness across Waters Canada.
Draft, negotiate, redline, and execute a broad range of commercial agreements, including RFPs, corporate contracts, supply agreements, loaner agreements, terms and conditions, incentive proposals, and other legal or commercial documentation, with Legal support as required.
Responsible for all contracting requirements of Distribution agreements.
Responsible for all contracting requirements of 3rd Party Intermediary agreements.
Review RFP document and associated contract templates for legal requirements and contractual obligations.
Identify contractual risks and seek business/legal/functional approvals as required.
Redline/negotiate RFP contract awards from notification of preferred proponent status to finalization/execution.
Act as a custodian of corporate legal documents and records
Update contracting templates as needed.
Develop business relationships with internal stakeholders to ensure effective coordination of contracting process.
Work with subject matter experts to understand the competitive environment for the contracting opportunity and participate in the development of competitive strategies as related to area of expertise/customer/product.
Own the RFP process from active stages through to post‑RFP activities
Monitor relevant legislation and regulatory requirements, assess potential business impact, and communicate implications to appropriate stakeholders (e.g., Law 17, Competition Act, and other applicable regulations).
Maintain expertise in financial considerations and compliance requirements associated with capital equipment, reagent rental, and consumables business models.
Own and continuously optimize the Contract Lifecycle Management (CLM) system to improve business processes, compliance, and financial performance.
Establish and maintain contract governance, documentation standards, and reporting processes to support operational excellence and risk management.
Demonstrate and champion company values, leadership behaviors, and a culture of accountability, collaboration, and continuous improvement.

Education And Experience Required

University degree.
5+ years of paralegal experience supporting commercial operations within a complex business environment, with demonstrated expertise in drafting, reviewing, interpreting, negotiating, and administering a broad range of commercial agreements. Proven ability to manage contract lifecycle processes, ensure regulatory and contractual compliance, leading RFP/tender activities, and maintain accurate legal documentation and records.
Must be fluent in both French and English, with strong proficiency in reading, writing, and speaking in both languages to communicate and collaborate effectively with internal and external stakeholders, including in Quebec.

Knowledge And Skills Required

Strong knowledge of Contract Lifecycle Management (CLM) systems or similar platforms, with the ability to define business requirements, provide stakeholder input, and support and maintain the transition to future-state solutions that meet organizational needs.
Demonstrated ability in Contracting & Redlining, demonstrating proficiency in reviewing, editing, and negotiating contractual terms.
Ability to interpret complex legal language and ensure accuracy in contract revisions.
Process creation and documentation
Strong business, legal and financial acumen with a passion for relationship management and deal shaping.
Change management and project management experience and the proven ability to improve and drive operational processes throughout a matrixed organization.
Strategic agility and ability to develop long-term strategic and collaborative relationships across all facets of the organization and with customers.
Strong team player with excellent communication, interpersonal and customer service skills.
Self-motivated, results-oriented, dedicated, driven, and able to communicate effectively at all levels.
Proficient with MS Office suite, such as Word, Excel (VLOOKUP), Outlook, and PowerPoint.

Preferred Qualifications

Experience within the medical device industry is strongly preferred.
Experience with Salesforce.com (case management), SAP, Power BI and QlikView are preferred.
