IT & Systems Specialist

About Us:

We’re a proudly family-owned business based on the Chippewas of the Thames First Nation, with a growing portfolio of diverse business operations including a fuel blending facility, gas stations, and a sports and entertainment complex. We are entering a period of growth and modernization and investing in building stronger internal systems and processes to improve efficiency, accountability, and service to our community.

As we grow, we recognize the need to develop the IT infrastructure that is required to support our operations, improve efficiency, and prepare for the future.

We’re looking for someone that is a hands-on problem solver who can support us where we are today while establishing the IT infrastructure to better support our current operations and future growth.

Main Purpose of the Job:

The IT & Systems Integration Specialist is responsible for the day-to-day coordination, support, and continuous improvement of technology and business systems across multiple small business entities, collectively employing fewer than 50 people.

As the primary internal point of contact for technology, the role provides hands-on support to staff, coordinates with external technology and software providers, manages technology assets and software licenses, and ensures employees have the equipment, access, and systems required to perform their roles effectively.

A key focus of the position is identifying opportunities to streamline and integrate the software used across the organization. The IT & Systems Integration Specialist works closely with operations and leadership to understand business processes, identify inefficiencies, and implement practical technology solutions, including point-of-sale, inventory, administrative, and storefront systems.

This role requires a hands-on problem solver who is comfortable troubleshooting everyday technology issues while also looking at the bigger picture of how systems can work better together within a growing, multi-entity business.

Duties and Responsibilities:

Day-to-Day IT & Technical Support

  • Act as the primary internal point of contact for day-to-day technology and systems support across all business entities.
  • Troubleshoot common hardware, software, connectivity, account, printer, device, and system issues.
  • Respond to staff technology requests and coordinate timely resolution of issues.
  • Determine when issues can be resolved internally and when escalation to an external provider, vendor, or software support service is required.
  • Act as the primary liaison with external IT providers and technical support services.
  • Track recurring technical issues and identify opportunities for permanent solutions or process improvements.
  •  Maintain clear documentation for commonly used systems, troubleshooting procedures, and technology processes.
  • Coordinate technology requirements for new employees and ensure required equipment and system access are available for their start date.
  • Set up computers, devices, email, user accounts, software, permissions, and other technology required for individual positions.
  • Configure and prepare company-issued equipment for employees.
  • Provide basic system orientation and technology support during onboarding.
  • Coordinate changes to system access when employees transfer positions or responsibilities.
  • Promptly disable or remove access and recover company technology when employees leave the organization.
  • Maintain appropriate records of equipment issued to employees and system access provided.
  • Support staff in effectively using company technology, systems, and software.

Systems Integration & Operational Support

  • Review existing software, systems, and workflows to identify opportunities for improved efficiency, integration, and cost savings.
  • Research, recommend, and implement practical technology solutions across multiple business entities.
  • Support point-of-sale, inventory, storefront, and other operational systems, including troubleshooting, configuration, updates, and testing.
  • Coordinate system implementations, integrations, and improvements while reducing manual processes and duplicate data entry.
  • Support technology setup for new locations, equipment, and users, ensuring consistent processes across the organization.

Software, Accounts & Technology Asset Management

  • Maintain accurate records of software, subscriptions, licenses, user accounts, renewal dates, and associated costs.
  • Manage user access, software renewals, and license allocation while identifying opportunities to consolidate services and reduce costs.
  • Track company technology assets, including equipment assignments, locations, warranties, and replacement schedules.
  • Coordinate technology purchases, repairs, upgrades, equipment recovery, and disposal.
  • Maintain appropriate administrative access and documentation for critical company systems.

Vendor, Website & Technical Coordination

  • Act as the primary internal contact for technology vendors, software providers, help desks, and external IT services.
  • Troubleshoot technical issues, manage support requests, and coordinate resolutions with external providers.
  • Maintain vendor records, service agreements, and support information while monitoring service quality.
  • Complete routine website updates and coordinate complex changes, technical issues, and development with external providers.
  • Monitor website functionality, manage digital platform access, and support updates to online business listings.

Team Support

  • Build strong working relationships with employees across multiple entities and locations to understand technology and system requirements.
  •  Provide practical, patient, and solutions-focused technology support to staff with varying levels of technical experience.
  • Prioritize technology issues based on urgency and operational impact.
  • Maintain confidentiality and appropriately safeguard company, employee, customer, and system information.
  • Support other technology and systems priorities as required.

Qualifications:

  • Post-secondary education in Information Technology, Computer Systems, Business Systems, or a related field, or an equivalent combination of education and practical experience.
  • Minimum 3 years of experience in a small business environment encompassing hands-on IT support, technology needs assessment and scoping, technical project management, and systems implementation.
  • Experience administering software, licenses, subscriptions, and technology assets, including equipment setup, tracking, and maintenance.
  • Experience working with external IT providers, software vendors, and technical consultants.
  • Experience with point-of-sale systems, inventory management systems, or retail technology is considered an asset.
  • Experience with website administration and coordination with external web developers is considered an asset.
  • Strong technical skills in troubleshooting hardware, software, connectivity, user accounts, and business systems.
  • Strong organizational and problem-solving skills, with the ability to work independently, manage competing priorities, and follow through on projects.
  • Strong interpersonal and communication skills with the ability to explain technical issues in clear, practical terms.
  • Demonstrated ability to balance immediate operational demands with longer-term priorities. Comfortable working independently as the primary internal resource responsible for technology and systems.
  • Valid driver's license and ability to travel between business locations as required.
