The Role

BGC is looking for a highly motivated and organized Office Administrator to join our Halifax Team. This is a fully on-site position based in our Halifax office. You will manage day-to-day administrative operations and collaborate closely with administrative teammates across BGC. You will report to the Halifax Office Manager and BGC’s Administrative Team Lead, and will be working in a fast-paced, dynamic consulting environment alongside our Engineers, Geoscientists, and other BGC teams. The ideal candidate is adaptable, proactive, takes initiative, communicates clearly, and takes pride in delivering high-quality work.

Responsibilities

Be the office’s first point of contact, welcoming visitors and vendors, answering phones, and supporting staff with day-to-day questions and needs
Coordinate with building management and vendors to address maintenance, repairs, and security needs
Manage general office organization, supplies, and regular administrative needs
Plan and support office and team events and meetings, including catering, logistics, and ensuring applicable safety requirements and procedures are followed, such as E-HASPs, visitor sign-in, and allergen signage
Coordinate travel arrangements including accommodations, vehicle bookings and other travel-related needs for local and field-based work
Maintain up to date office files and resources
Arrange and track domestic and international shipments
Manage onboarding logistics for new staff and act as a general resource for new hires
Work with BGC’s IT Team to support local office needs, inventory organization, and functionality of IT and AV equipment
Approve office related invoices and complete office credit card reconciliations
Support workspace planning initiatives, office renovations and expansions
Contribute to the development of a positive office culture that aligns with BGC’s broader One Team approach
Perform other tasks as required to support office operations

Required Education, Experience & Competencies

7+ years of relevant experience in administration
Demonstrate initiative and work proactively
Adapt quickly and manage changing priorities effectively
Organize work, meet deadlines, and maintain strong attention to detail
Proficient with Microsoft Office, Adobe Acrobat, and confident learning new programs
Work independently and stay accountable for results
Communicate clearly and professionally, both verbally and in writing
Have a common-sense approach and sound critical thinking skills
Collaborate effectively in a team environment
Contribute to a positive and inclusive office and team culture

Compensation

The estimated base salary range for this position is $60,000 - $70,000 CAD per annum, however base pay will be commensurate with job-related knowledge, skills, and experience. BGC's compensation package also includes a discretionary bonus plan, training allowance, and comprehensive medical and dental plan.
