Summary

JOB DESCRIPTION

The Technical Writer and Trainer is accountable for documenting, standardizing, and enabling adoption of project delivery processes, tools, and governance, with a primary focus on the Project Management Best Practice Playbook, associated work instructions and the project management software. The role ensures that processes are clear, consistent, current, and usable, and that teams are effectively trained to apply them across the full project lifecycle.

Key Duties & Responsibilities

Project Delivery Process Documentation & Standards

Develop, maintain and govern process documentation, including:

Project Management Best Practice Playbook content
Phase/Stage Gate requirements
Work Instructions (WIs), SOPs, and job aids
Standard forms, templates, and checklists

Translate complex delivery, controls, and governance requirements into clear, concise, and practical guidance for project practitioners.
Ensure alignment between documented processes and:

Project Management Office (PMO) & Project Controls Office (PCO) governance
Quality frameworks (Quality Assurance (QA), Non-Conformance Reporting (NCR), stage gate controls)
Client-specific delivery requirements where applicable

Actively manage version control, publish updates, and retire obsolete documentation.

Project Management Software Enablement & Documentation

Serve as the primary author and curator of software related documentation, including:

End-to-end lifecycle guides
Role-based guides (PM, PC, PCO, Directors)
Module-specific instructions (forms, correspondence, cost management, schedules, close-out, reporting)

Ensure software documentation reinforces:

Data integrity standards
Required fields and workflows
Alignment with project delivery stage/phase gates and charters

Work closely with software configuration, PCO, and PMO teams to keep documentation synchronized with system changes and enhancements.

Training Design & Delivery

Design and deliver structured project delivery process and supporting software training programs, including:

Onboarding training for new hires
Refresher and role-based training for existing staff
Targeted training for process or system changes

Develop training materials such as:

Slide decks and facilitator guides
Self-serve learning content using video technology,
Quizzes, job aids, and knowledge checks

Support account-specific or program-specific training rollouts as required.

Adoption, Quality & Continuous Improvement

Partner with PCO, PMO, and PDS Leadership to:

Identify gaps in process understanding or execution
Target training and documentation to address risk areas

Incorporate feedback from:

Training sessions
Audits, NCRs, and QA reviews
PMWeb data quality issues

Use lessons learned to continuously improve clarity, usability, and effectiveness of documentation and training.

Governance & Stakeholder Integration

Act as a bridge between strategy, governance, and execution, ensuring that:

Leadership expectations are clearly translated into operational guidance
Teams understand “what good looks like” and how it is measured

Collaborate with:

PDS Leadership
PMO / PCO
Software configuration and support teams
Quality, Risk, and Controls lead(s)

Support enterprise initiatives related to standardization, digitization, and delivery maturity.

Knowledge & Skills

Strong technical writing and instructional design capability.
Deep understanding of project delivery, controls, and governance in a PMO/PCO environment.
Practical experience translating complex workflows into clear user guidance.
Comfortable working across operations, technology, and leadership teams.
Highly structured, detail-oriented, and quality-focused.
Experience in the field of project and/or facilities management
Advanced Knowledge of MS Project, Excel, Word, PowerPoint, Visio, project management and video creation software.
Strong interpersonal, and communication skills.
Organizational skills with the ability to handle multiple concurrent activities and to work successfully under pressure.
Ability to manage priorities while taking direction from several managers and communicate effectively to manage workload and expectations.
Strong analytical, statistical and organizational skills.
Track record of preparing both “detailed” and “management level” reports.
Bachelor’s degree in technical writing and digital media studies.
Strong presentation/public speaking skills.
2 – 3 years experience in a position related to BA degree noted above.
Ability to thrive in a fast-pace and changing environment.
French proficiency an asset.

Licenses and/or Professional Accreditation

Technical Writer Certificate.

This is a regular, full-time position with a salary range of $84,493 - $105,616 per annum. The starting salary will be based on the successful candidate’s competencies, including but not limited to experience, education and performance related to this role.
