BIMM is booming, so we're hiring a Senior Executive Assistant to join the team!

As we observe a hybrid model, this role will require you to be in office 2 days per week.

Who we're looking for

We're looking for a highly organized, proactive Senior Executive Assistant who will serve as a trusted partner to our CEO. You'll manage the CEO's calendar, communications, travel, and priorities, ensuring the CEO's time and focus stay on the highest-value leadership priorities.

The right person quickly understands what matters most, anticipates needs before they arise, brings order to a busy and varied agenda, and makes sure commitments are followed through. You'll take ownership, exercise sound judgment, raise issues respectfully, and proactively remove obstacles so work keeps moving.

While the primary focus of this role is supporting the CEO, you'll also work closely with the Executive Leadership Team, our clients, and partners across the kyu Collective, and coordinate leadership meetings and offsites. The ideal candidate is calm under pressure, adapts quickly as priorities shift, communicates with confidence and professionalism, and takes pride in bringing structure and momentum to an already fast-moving business.

This is an existing vacancy, not a made-up role - this one’s already got a desk waiting.

Responsibilities

Manage the CEO's calendar, meeting cadence, and priorities, protecting time for the highest-impact work
Triage incoming requests and email, determine the right level of CEO involvement, and handle or redirect what doesn't need the CEO's attention
Plan and manage domestic and international travel
Prepare meeting briefs, agendas, and background materials so the CEO is informed and prepared for every significant interaction
Anticipate upcoming deadlines, commitments, and stakeholder needs, and flag risks or conflicts early
Track action items and commitments, follow up with stakeholders, and ensure nothing falls through the cracks
Draft correspondence, summaries, and presentation materials on behalf of the CEO
Leverage technology, automation, AI tools, and productivity platforms to improve effectiveness
Coordinate ELT meetings, offsites, and planning sessions, including agendas, materials, logistics, and follow-up

Requirements

7+ years of Executive Assistant experience, including at least 3 years supporting a CEO or C-suite executive
Experience in a professional services, agency, consulting, or high-growth environment is a strong asset
Demonstrated ability to operate independently with limited direction
Outstanding written and verbal communication skills
Proven ability to manage multiple competing priorities in a fast-paced environment
High level of professionalism, discretion, and confidentiality
Experience working with senior executives, clients, and external partners, including across time zones
Advanced proficiency in Microsoft 365 (Outlook, Teams, SharePoint) and comfort using AI and automation tools in daily work
Ability to influence, challenge, and redirect conversations respectfully when required
