About the role

As our Administrative Assistant, you'll be the person who keeps things organized behind the scenes: calendars, inboxes, our CRM, the office itself and the logistics that keep a growing team moving. You'll work closely with leadership and our recruiters, and get a front-row view of how legal, finance and executive hiring works in Canada.

This role is a great fit for a mature student exploring a career in law, finance or recruitment who wants real experience at a fast-growing firm while studying.

What you'll do:

Administrative support

  • Manage calendars for leadership and the team, including placement reminders
  • Answer and manage the Toronto office phone line and our Montréal virtual line
  • Keep our CRM clean and accurate: merge duplicates, update notes, assign owners and troubleshoot issues
  • Update job descriptions and manage job slots in LinkedIn Recruiter
  • Send Google review requests to placed candidates
  • Coordinate monthly ads in the Ontario Reports (12 per year)
  • Book team travel, including flights, hotels and logistics (about 4 trips per year)
  • Support light client engagement: coordinating and hosting, DocuSign and follow-up emails
  • Provide friendly, professional service to candidates and clients, including handling concerns
  • Organize Google Drive and maintain data tracking
  • Prepare and track invoices
  • Conduct occasional reference checks for placed candidates

Office management

  • Keep the office stocked with snacks, coffee and supplies
  • Keep the office clean, tidy and organized, including dishes
  • Provide basic IT support and submit help tickets as needed
  • Take on special projects as they come up

What we're looking for

  • A mature student with an interest in law, finance or recruitment
  • Highly organized, with strong attention to detail
  • Clear, professional written and verbal communication
  • Comfortable juggling many small tasks and prioritizing on the fly
  • Discreet with confidential candidate and client information
  • Comfortable with Google Workspace; experience with a CRM or LinkedIn is a plus
  • Proactive and happy to pitch in wherever the team needs help
  • Able to work on-site at our Midtown Toronto office 2 to 3 days a week.
  • French is an asset
  • No degree is required.

What we offer

  • $18/hour, part-time hours that work alongside your studies
  • A 6-month contract with the potential to move into a full-time role
  • Hands-on exposure to legal, finance and executive recruitment
  • Invitations to corporate and team events
  • Mentorship from a team of former lawyers, CPAs and executives
