ABOUT THIS CAREER OPPORTUNITY

The Contract Administrator is located in Pickering and typically reports directly to the Director of Proposals & Commercial Management. This role supports the administration and commercial management of client agreements and contracts throughout the project lifecycle. Working closely with project teams and internal stakeholders, the Contract Administrator helps interpret and apply contract requirements, coordinate contractual deliverables, maintain accurate records, monitor compliance, and support the resolution of commercial issues. The successful candidate will bring strong attention to detail, sound judgment, and a collaborative approach to managing contractual risk and supporting successful project delivery.

JOB DUTIES & RESPONSIBILITIES

Contract administration and commercial management

Serve as the primary point of contact for client master service agreements, contracts, and purchase orders.

Apply contract terms to daily transactions and support the resolution of commercial and contractual issues, claims, changes, and minor disputes.

Track contractual deliverables, coordinate required approvals, and administer monthly reporting.

Contract development and compliance

Support the drafting, review, markup, formatting, and negotiation of contracts, downstream agreements, purchase orders, and contractual notices.

Ensure compliance with company policies and procedures, contractual obligations, project requirements, record-retention standards, and filing requirements.

Engage legal counsel and insurance advisors as required to obtain approvals and support appropriate project insurance programs and coverage.

Stakeholder coordination and communication

Partner with project management, engineering, construction, project controls, finance, legal, quality, safety, proposal, and customer teams to align contract activities with project objectives.

Coordinate contractual deliverables and responses across internal and external stakeholders.

Communicate contract updates and changes to appropriate personnel and maintain current electronic job information.

Document control and audit support

Maintain organized contract files, including proposals, contracts, and related correspondence.

Manage document flow, filing, and information retrieval in accordance with project-specific document control processes.

Support audits and inspections by compiling and organizing required documentation.

Process improvement

Develop and improve procedures, systems, forms, databases, and workflows that support project requirements, office activities, and ongoing productivity improvements.

EDUCATION REQUIREMENTS

Bachelor’s degree in construction management, business, engineering, supply chain management, or a related field.

WORK EXPERIENCE REQUIREMENTS

Minimum two years of experience in contract administration, subcontracts, procurement, or commercial management within the engineering and construction industry.

Experience supporting commercial negotiations, contract drafting, and the preparation of commercial recommendations.

Experience interpreting design or construction contracts and applying project management and document control processes is an asset.

SKILLS, ABILITIES, AND OTHER REQUIREMENTS

Knowledge of contract administration, contract terminology and interpretation, construction law, and commercial risk and liability.

Strong analytical, problem-solving, research, and commercial judgment skills.

Excellent written and verbal communication, presentation, interpersonal, and customer service skills, with the ability to collaborate across multidisciplinary teams.

Detail-oriented and organized, with the ability to work independently, manage competing priorities, meet deadlines, and maintain accurate electronic contract records.

Proficiency with Microsoft 365 applications, including Word, Excel, Outlook, PowerPoint, and SharePoint; knowledge of Power BI, Power Apps, and Power Automate is an asset.

High degree of professionalism, discretion, accountability, and attention to detail.

Ability to travel as required.

Eligible to obtain and maintain the required security clearance.

COMPENSATION

The expected salary range for this role is between $65,000/annually and $85,000/annually. The starting salary will be based on several factors such as the successful candidate’s qualifications, including but not limited to education, experience and overall competencies. Salary is one component of Black & McDonald’s total rewards package. Total rewards vary by position and may include additional offerings such as group insurance benefits, pension plan, annual performance bonus, and career development programs.
