Hours of Work: Approximately 25 hours per week, Monday–Friday
Reporting to: Project Manager, under the supervision of the Programs Manager
Black Opportunity Fund (BOF) is seeking a highly organized, detail-oriented, and motivated professional to fill the position of BD3 Project Coordinator for a national capacity-building initiative supporting Black disability-led, Black disability-serving, and Black disability-focused (BD3) organizations and leaders across Canada.
The project, led by BOF, aims to strengthen organizational capacity, leadership, accessibility, and sustainability across the BD3 sector through training, coaching, community engagement, and system-level collaboration. The successful candidate will provide administrative and project coordination support in a dynamic, collaborative environment and will help ensure that project activities, records, communications, meetings, and deliverables are well organized and completed on time.
JOB SUMMARY:
Reporting to the Project Manager, the BD3 Project Coordinator will provide day-to-day administrative and coordination support across the project’s lifecycle. The role will maintain project records, coordinate meetings and logistics, track milestones and action items, support reporting and data collection, and facilitate clear communication among BOF staff, participating organizations, community partners, service providers, and the funder. The ideal candidate combines sound administrative judgment with strong organization, discretion, accessibility awareness, cultural awareness and acuity, and a commitment to supporting and empowering Black people with disabilities.
ROLES AND RESPONSIBILITIES:
Working in a dynamic, team-based environment, the Project Coordinator will provide comprehensive administrative and project coordination support to the Project Manager, Programs Manager, and project team. The position will be responsible for:
Project Administration & Coordination
· Provide day-to-day administrative support to the Project Manager, Programs Manager, and project team to help activities and deliverables progress on schedule.
· Maintain project workplans, calendars, contact lists, document repositories, templates, and administrative trackers.
· Track milestones, deadlines, decisions, action items, and outstanding follow-ups, and flag upcoming requirements or delays to the Project Manager.
· Organize and maintain accurate project files and records in accordance with BOF’s information-management practices.
Partner & Interest-holder Coordination
· Support communication and information flow among BOF staff, BD3 participating organizations, community partners, service providers, national networks, and the funder.
· Maintain current partner and participant contact information, correspondence, agreements, schedules, and related records.
· Prepare routine correspondence, distribute materials, respond to general inquiries, and route substantive matters to the appropriate team member.
· Follow up with partners and participants on requested documents, registrations, confirmations, and action items.
Program & Accessibility Support
· Provide administrative support for training, coaching, peer-learning, wellness, and community-engagement activities.
· Track event registrations, attendance records, session materials, surveys, and follow-up communications.
· Support the coordination and documentation of accessibility needs and accommodations, maintaining privacy and escalating requirements appropriately.
· Help ensure documents, meeting materials, and communications are prepared and distributed in accessible formats.
Documentation, Reporting & Compliance Support
· Collect, verify, organize, and maintain project data and documentation for internal, funder, evaluation, and audit requirements.
· Assist with drafting, formatting, proofreading, and compiling reports, briefs, presentations, meeting packages, and other project materials.
· Maintain tracking tools for project outputs and outcomes, including participation, capacity-building activities, leadership development, and network engagement.
· Support records retention, version control, approvals, and submission schedules in accordance with funding and organizational requirements.
Financial & Procurement Administration
· Maintain administrative records for project expenses, invoices, contracts, purchase requests, and payment documentation.
· Support budget tracking by updating approved expenditure records and identifying missing information or potential variances for review.
· Liaise with the Finance team and vendors to support timely processing and complete documentation.
Communications & Knowledge Sharing
· Coordinate internal and external meetings, including scheduling, invitations, accessibility arrangements, agendas, meeting materials, minutes, and action-item follow-up.
· Support the preparation and distribution of reports, briefs, presentations, newsletters, and knowledge-sharing materials; content strategy and approval remain with the responsible lead.
· Liaise with BOF’s Communications team and external service providers on administrative requirements, timelines, approvals, and distribution.
Event & Community Engagement
· Coordinate logistics for the national in-person event, workshops, consultations, and virtual sessions, including venues, travel, accommodations, catering, technology, materials, and attendance records.
· Support participant communications, registration, accessibility arrangements, vendor coordination, and post-event follow-up.
· Provide on-site or virtual administrative support during project events and engagement activities.
· Perform other administrative and project support duties as assigned.
QUALIFICATIONS:
Education and Credentials
· Post-secondary education in office administration, business administration, project coordination, social services, or a related discipline, or an equivalent combination of education and relevant experience.
· Training or a certificate in project coordination or administration is an asset.
· Accessibility for Ontarians with Disabilities Act (AODA) training is required or must be completed upon hire.
Experience
· Minimum three years of administrative, project support, or project coordination experience, ideally in a nonprofit, community-based, or publicly funded environment.
· Experience coordinating meetings, preparing minutes, tracking action items, maintaining records, and supporting multiple deadlines.
· Experience supporting events, workshops, training, community engagement, or participant-based programming.
· Experience compiling data and documentation for reports, budgets, funding requirements, or audits is an asset.
· Experience working with people with disabilities, accessibility requirements, or disability-focused organizations is an asset.
Technical Skills
· Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, Teams, and SharePoint.
· Comfort using project-management and collaboration tools such as Monday.com, Asana, Trello, or similar platforms.
· Ability to maintain spreadsheets, trackers, contact databases, electronic filing systems, and document-control processes with accuracy.
· Knowledge of accessible document and meeting practices is an asset.
· Bilingual proficiency in English and French is an asset.

COMPENSATION:
The target hiring range for this position is $23 - $28 per hour, commensurate with experience and project funding. Final placement within this range will be determined based on market conditions, internal equity, and the candidate’s experience, skills, and qualifications.
