Job Description

BLP is searching for an Operations Manager to assist in the implementation of structure and processes in the course of the growth of the firm. The Operations Manager will play the role of Office/Operations manager for the firm at large. This role includes creation, implementation and efficient use of workflows, processes and IT tools, as well as support the leadership team with KPI development, and responsibilities relating to human resources, recruitment and business development/branding.

Main Responsibilities

Organize internal knowledge and databases, including Sharepoint;
Develop, implement, and maintain internal workflows and procedures to streamline and standardize operations including support materials, templates and Forms;
Manage the firm’s branding and external touchpoints, including client general communications, committee outputs, Linkedin and hiring processes;
Manage the recruitment of new personnel of the firm and all processes related thereto;
Manage processes relating to HR within the firm;
Be the internal expert on software and procedures utilized, and ensure everyone knows how to effectively use the software tools available;
Provide direct training support to team members as needed;
Be the main interface contact with software provider(s) for issues, prioritization, tracking, and resolution follow-up;
Maintain a process audit schedule and perform audits to ensure internal procedures are followed, and provide reports and recommendations for improvement;
Develop a standardized KPI reporting structure as required by senior management;
May participate in User Group meetings/conferences representing the Company;
Demonstrate awareness and adherence to Company policies as outlined in the Employee Manual;
Performs other duties as assigned.

Education and Experience

A bachelor's degree Management or Business Administration is preferred; however other relevant certifications will be considered;
Previous experience (preferable 3+yrs) in an office manager, operations or human resources position;
Prior experience in a legal firm and familiarity with legal terms and principles is desired;
Proficiency with Microsoft Word Suite, knowledge with law firm related databases and understanding of database structures, including fields, tables, views, database objects, etc.

Required Skills

Work effectively both independently and in a team-oriented environment;
Effective decision-making and problem-solving skills involving troubleshooting basic to moderate issues;
Proactive to taken action and create systems within the organization;
Strong organizational skills;
Excellent interpersonal skills, and ability to communicate professionally, clearly, and appropriately;
Excellent written and verbal communication skills in both French and English.

BLP est à la recherche d’un(e) Gestionnaire des Opérations pour accompagner dans la mise en place et le déploiement de structures et procédures dans le cadre de la croissance continue de l’entreprise. Le/la candidat(e) retenu(e) assure le rôle de Gestionnaire opérationnel & de bureau pour l’ensemble du cabinet. Ses responsabilités incluent la mise en place et le déploiement de procédures internes, d’outils de gestion ainsi que d’outils informatiques. Il/Elle soutiendra également l’équipe de direction dans l’élaboration d’indicateurs clés de performance, dans les responsabilités liées aux ressources humaines, au recrutement et au développement des affaires, actions marketing / communication et image de marque.

Responsabilités

Organiser les connaissances internes et les bases de données, y compris Sharepoint;
Développer, mettre en œuvre et maintenir des flux de travail et des procédures internes afin de simplifier et de normaliser les opérations, notamment les supports d'aide, les modèles et les formulaires;
Gérer l’image de marque de l’entreprise et ses différents points de contact externes, notamment les communications générales avec la clientèle, les publications des comités, le profil LinkedIn et les processus de recrutement;
Gérer le recrutement de nouveaux collaborateurs au sein de l’entreprise et les procédures qui y sont reliées;
Gérer les procédures liées aux ressources humaines au sein de l'entreprise;
Développer en permanence son expertise en matière de produits logiciels en examinant les nouvelles fonctionnalités, en testant les problèmes liés aux produits et en installant les mises à jour si nécessaire;
Fournir un soutien direct en matière de formation aux membres de l'équipe selon les besoins;
Agir comme personne-ressource principale pour communiquer avec les fournisseurs de logiciels pour les problèmes, la hiérarchisation, le traitement et le suivi des résolutions;
Tenir à jour un calendrier d'audits des processus et réaliser des audits pour s'assurer que les procédures internes sont respectées, et fournir des rapports et des recommandations d'amélioration;
Développer une structure de rapports des indicateurs clés de performance (KPI) standardisée, conformément aux exigences de la direction;
Peut participer à des réunions/conférences de groupes d'utilisateurs en représentant l'entreprise;
Faire preuve d'une bonne connaissance et respecter les politiques de l'entreprise telles que décrites dans le manuel de l'employé;
Réaliser toute autre tâche qui lui sera confiée.

Éducation et expérience

Un diplôme de baccalauréat en management ou en administration des entreprises est préférable, mais d'autres certifications pertinentes seront prises en considération;
Expérience préalable (de préférence 3 ans ou plus) dans un poste de gestionnaire de bureau, gestionnaire des opérations ou dans un poste de ressources humaines;
Expérience préalable dans un cabinet d’avocats et bonne connaissance des termes et des principes légaux;
Maîtrise de la suite Microsoft Word, connaissance des bases de données utilisées dans les cabinets d'avocats et compréhension des structures de base de données (champs, tables, vues, objets de base de données, etc.).

Capacité à travailler de manière autonome tout en s'intégrant parfaitement à une équipe;
Aptitude à résoudre les difficultés courantes (simples à modérées) et à prendre des décisions adaptées avec autonomie;
Être proactif et démontrer une grande capacité à mettre en place des mesures et concevoir des systèmes au sein de l’organisation;
Sens aigu de l’organisation;
Excellentes compétences interpersonnelles et communication professionnelle, claire et adéquate;
